Job Description:

The Buyer is responsible for researching evaluating and purchasing services supplies and equipment to meet the Universitys needs. This role ensures procurement activities align with price quality service and warranty standards while maintaining compliance with University policies. Key responsibilities include processing requisitions issuing and closing purchase orders verifying budget codes and available funds and communicating purchasing status to relevant departments.

Essential Duties and Responsibilities

  • Initiates and manages the bid/quote process for services supplies and equipment then evaluates submissions to recommend purchases.
  • Reviews requisitions for accuracy required documentation and verifies appropriateness of budget codes and availability of funds ensuring all requisitions and purchase orders comply with University policies and best practices.
  • Collaborate with internal stakeholders the accounting department and suppliers to resolve billing discrepancies.
  • Assists Receiving departments to ensure deliveries are routed to correct locations.
  • Assists in maintaining contract information within University systems.
  • Manages department purchasing card transactions and reconciliation in compliance with University policies.
  • Responsible for accurate and compliant online purchasing activities.
  • Identifies and develops sources of supply; maintains relationships with vendors to stay informed on trends and technologies.
  • Resolves procurement-related issues with internal and external clients.
  • Supports departmental efficiency and process improvement initiatives.
  • Assists with special projects including vendor integrations and punch-outs.
  • Manages new supplier set up and workflow updates.
  • Create and maintain ongoing updates to procurement related workflows such as inventory item numbers templates and supplier changes.
  • Represents the University favorably and in accordance with established Core Values and expectations.
  • Provides training and support to departments on Procurement policies and procedures.
  • Performs other duties as assigned to meet organizational goals.

Qualifications:

  • Associates degree required or equivalent work experience
  • Three years experience in purchasing a variety of general and specialized items shipping and receiving and basic accounting
  • Strong oral and written communication skills
  • Excellent interpersonal skills are essential
  • Demonstrated ability to work independently
  • Self-motivated self-disciplined and highly detail oriented
  • Excellent follow-through skills
  • Ability to effectively prioritize tasks and handle multiple projects simultaneously while producing high quality work and meeting deadlines
  • Proficiency with enterprise procurement systems word processing software and spreadsheet applications
