Key Responsibilities:

  • Management of number allocation and general data issue.
  • Issue track and expedite squad checks either electronic hard copy or serial via a review room/desk.
  • Provide general support to the Document Control team.
  • Processes engineering and supplier documents through all procedural steps in accordance with procedures and guidelines.
  • Performs data entry to produce logs transmittals and other reports.
  • Provide reproduction scanning support distribution of documents retrieval and filing of all project documents.
  • Assembles document packages for special issues and data books.
  • Performs regular housekeeping on all project documents (hard copy electronic and work area).
  • Performs administrative duties to support Lead Document Controller/Senior Document Controller. (Generating registers Extracting data & documents)
  • Assists in Record Management and Archival exercises.
  • Contributes and adheres to company and departmental policies and objectives.
  • Supports continuous improvement activities. (Quality awareness participates in improvement activities offers suggestions attends training).
  • Perform document control services on various projects in accordance with:
    - Worley document management systems controls processes and procedures
    - any project specific or other regulatory requirements.
  • As required receive enter transmit and file project documentation including Worley client vendor and third-party documentation.
  • Check all received documentation is legible and contains appropriate approvals.
  • Support other team members to balance workload.
  • Assist with the improvement of the project document control processes and procedures.
  • Ensure all project documentation is processed transmitted and filed in accordance with the relevant document management system and can be retrieved in an accurate and timely manner.
  • Produce and distribute status reports to the project team when required.
  • Assist with the reproduction of documentation across different mediums.
  • Ensure all current and relevant documentation is uploaded to the document management system or project websites as required e.g. Microsoft SharePoint.
  • Handover closeout and archive project documentation on time and in accordance with project requirements.

Quality Assurance: Work within the provisions and guidelines of the Quality Assurance systems.

Safety

  • Responsible for personal safety and working within the Occupational Health & Safety procedures.
  • Competent in implementing HSE in the design process focuses on process safety and strives to use best practice

Education Qualifications Accreditation Training:

  • Diploma Advance Diploma or Bachelor Degree in any discipline

Industry Specific Experience:

  • Must have experience in Document & Data Management
  • Good knowledge of the codes and standards and understanding of onshore/offshore engineering practices applicable to oil and gas facilities.
  • Good knowledge of Document Control procedures and functions.
  • Good understanding of revisions definition of status codes and purpose of transmissions.
  • Good understanding and knowledge of the operation of Document Control.
  • General understanding of project disciplines and requirements.

IT Skills:

  • Shall be expert on Computer operations and MS office Products like Excel Word Access etc.

  • A concise understanding of Worley systems Oracle (Time writing) EcoSys (Project Control) WPMP (Company standard processes and procedures).

  • Familiar with Encompass ASSAI and AIMS EDMS.
