Note: Must be comfortable as a primary front-desk point of contact while also owning detailed data accuracy scanning and document organization in firm systems.

Their work includes Medicaid planning asset protection estate planning trusts probate guardianship and long-term care planning across Florida.

Job Description

  • Own front desk presentation and keep client-facing areas clean calm and professional
  • Review new matters to ensure intake data correctly migrated into the case management system
  • Fix missing or incorrectly formatted information and maintain naming / filing standards
  • Prepare signing appointment packets: print assemble tab and organize documents in advance
  • Support signing appointments as needed (including serving as a witness)
  • Scan/upload executed documents same day and route originals appropriately
  • Process incoming mail twice daily: date-stamp sort scan and file same day
  • Prepare outgoing mail including certified and tracked shipments
  • Receive physical client documents scan/upload within 24 hours label correctly and protect confidentiality
  • Perform daily opening and end-of-day reset procedures for reception and signing areas

Qualifications

  • 1 year experience in a receptionist office coordinator admin records or data-heavy support role (law firm a plus)
  • Polished professional client-facing demeanor (in person phone)
  • Strong attention to detail with scanning filing and data entry
  • Organized process-driven and reliable with time-sensitive tasks
  • Comfortable working in CRM / case management systems (training provided)
  • Discreet with sensitive client information
