Job Description
- Own front desk presentation and keep client-facing areas clean calm and professional
- Review new matters to ensure intake data correctly migrated into the case management system
- Fix missing or incorrectly formatted information and maintain naming / filing standards
- Prepare signing appointment packets: print assemble tab and organize documents in advance
- Support signing appointments as needed (including serving as a witness)
- Scan/upload executed documents same day and route originals appropriately
- Process incoming mail twice daily: date-stamp sort scan and file same day
- Prepare outgoing mail including certified and tracked shipments
- Receive physical client documents scan/upload within 24 hours label correctly and protect confidentiality
- Perform daily opening and end-of-day reset procedures for reception and signing areas
Qualifications
- 1 year experience in a receptionist office coordinator admin records or data-heavy support role (law firm a plus)
- Polished professional client-facing demeanor (in person phone)
- Strong attention to detail with scanning filing and data entry
- Organized process-driven and reliable with time-sensitive tasks
- Comfortable working in CRM / case management systems (training provided)
- Discreet with sensitive client information
