Administrative Assistant Legal Department

Location: Miami FL 33126
Employment Type: Full-Time
Reports To: Board Members and Chief Legal Officer (CLO)

The Xtreme Group is seeking a highly organized and professional Administrative Assistant to support our Chief Legal Officer and Board Members. This role is critical in ensuring smooth legal operations coordinating executive communications and maintaining confidential information across the organization.

What Youll Do

  • Provide direct administrative support to the CLO and Board Members including calendar management meeting scheduling and travel coordination.
  • Coordinate Board meetings: prepare agendas compile materials and take minutes.
  • Prepare proofread and format legal documents reports and correspondence.
  • Maintain and organize legal files contracts board records and confidential documents.
  • Track deadlines for regulatory filings compliance requirements and other legal obligations.
  • Assist with expense reporting budget tracking and invoice processing for the Legal Department.
  • Coordinate meetings with internal teams external counsel auditors and regulatory agencies.
  • Support training programs and maintain accurate records of personnel training related to aviation operations.
  • Handle sensitive information with discretion and maintain the highest level of confidentiality.
  • Perform additional administrative duties and special projects as needed.


Qualifications

What Were Looking For

  • High school diploma required; Associates or Bachelors degree in Business Administration Legal Studies or related field preferred.
  • 3 years of administrative support experience ideally supporting executives board members or a legal department.
  • Strong proficiency in Microsoft Office Suite (Word Excel PowerPoint Outlook).
  • Experience with document management systems and board governance tools is a plus.
  • Excellent organizational communication and time-management skills.
  • Professionalism discretion and executive presence.
  • Ability to manage multiple priorities and work independently.
