A Brief Overview
The Director Facilities Administration provides leadership for the administrative operations for Business Units in the Facilities Services division combining and elevating program elements operations planning and administration to drive consistent efficient and compliant support across Facilities Services. This role sets vision and priorities for administrative functions including business operations budgeting and financial management contract and vendor administration workforce planning and onboarding quality and compliance programs training and scheduling enterprise systems governance analytics and reporting communications and change management. The Director partners with colleagues in their own and other Business Units to translate strategy into measurable outcomes and deliver high-reliability administrative services that enable safe timely and cost-effective operations across a complex multi-site healthcare environment.

What you will do

  • Set vision priorities and multi-year administrative roadmaps for the Facilities Services division in alignment with SHC strategies; translate strategic objectives into annual operating plans with clear KPIs and accountabilities
  • Lead the divisions business operations functions including operating and capital budget development forecasting FTE and labor management financial monitoring and benefits realization; partner with Business Operations & Strategic Initiatives (BOSI) to track outcomes and recommend corrective actions.
  • Direct quality and compliance programs for the Business Unit (policies/Standard Operating Procedures (SOPs) audits corrective action plans and readiness) to support The Joint Commission Environment of Care Centers for Medicare & Medicaid Services (CMS) Conditions of Participation Occupational Safety & Health Administration (OSHA) National Fire Protection Agency (NFPA) and other applicable requirements.
  • Sponsor and govern enterprise systems that enable Facilities operations ensure data integrity workflow standardization user training and actionable reporting.
  • Manage departmental programs and initiatives; regularly report progress risks and mitigation plans to Facilities Services leadership; produce the divisions business units Annual Report and quarterly business reviews.
  • Lead recruiting onboarding competency development and succession planning for administrative and operational support roles; oversee technical training and scheduling functions where applicable to ensure adequate staffing and skill readiness.
  • Implement sustain and continuously improve standard work business processes and service-level expectations using Lean methodologies; lead change management communication plans and stakeholder engagement.
  • Facilitate effective cross-functional communication among Facilities Services other Stanford Medicine partners and external vendors to ensure alignment and issue resolution.
  • Guide development and use of dashboards and analytics for safety quality finance contracts and operational performance; ensure timely accurate and actionable information for decision-making.
  • Serve as advisor and thought partner to department leaders; coach managers and supervisors; build a culture of accountability service excellence equity and continuous improvement consistent with C-I-CARE.
  • Ensure administrative business continuity and emergency preparedness for Facilities Services; participate in incident command and after-action reviews; coordinate improvements across impacted programs.
  • Manage and develop a team of managers supervisors analysts and coordinators; set goals conduct performance reviews and support professional growth; oversee consultants and contingent staff as needed. This position may require on-call availability during non-standard hours including nights weekends and holidays to meet business needs and respond to emergencies as necessary.


Education Qualifications

  • Job requires a Bachelors degree in a work-related discipline/field from an accredited college or university. Relevant experience in lieu of degree may be considered. Relevant experience in lieu of degree is in addition to the experience requirements for this position.
  • Masters Degree (e.g. MBA MHA MPA engineering management) Preferred


Experience Qualifications

  • Six (6) years of progressively responsible and directly related work experience required.


Required Knowledge Skills and Abilities

  • Ability to establish strategic direction and translate it into executable plans with measurable outcomes; skilled in portfolio and program management.
  • Strong financial acumen including operating/capital budgeting forecasting variance analysis and business case development.
  • Expertise in contract administration and vendor performance management including service level design and KPI tracking.
  • Knowledge of healthcare facilities operations and applicable standards and regulations (e.g. Joint Commission Environment of Care CMS OSHA NFPA) and the implications for administrative processes and systems.
  • Proficiency with enterprise facilities systems (Enterprise Asset Management (EAM)/Computerized Maintenance Management System (CMMS) Integrated Workplace Management System (IWMS)/Computer-Aided Facility Management (CAFM) project controls scheduling) and business intelligence/reporting tools; understanding of data governance and workflow standardization.
  • Demonstrated ability to design implement and evaluate efficient cost-effective administrative processes; Lean/continuous improvement mindset.
  • Excellent communication facilitation and relationship-building skills; ability to influence at all levels and coordinate across diverse stakeholder groups.
  • Proven leadership and talent development capabilities; ability to manage complex projects and resources (people time and budgets) in a dynamic 24/7 healthcare environment.
  • Strong analytical problem-solving and decision-making skills; ability to research regulations policies and technical references and apply them to operations.

Base Pay Scale: Generally starting at $79.21 - $104.97 per hour

The salary of the finalist selected for this role will be set based on a variety of factors including but not limited to internal equity experience education specialty and training. This pay scale is not a promise of a particular wage.
