Position Summary
The Payroll and HR Support Specialist is responsible for the accurate and timely processing of U.S. and Canadian payroll while providing hands-on HR operational support for the People Operations and Administration (POA) organization. This role plays a critical part in ensuring payroll compliance maintaining organized and digitized HR records and supporting day-to-day POA administrative functions. The ideal candidate has experience processing Canadian and US payroll is detail-oriented and highly organized and is comfortable balancing payroll responsibilities with tactical HR projects.
Key Responsibilities
Payroll Administration (U.S. & Canada)
- Process bi-weekly and/or ad-hoc payroll for U.S. and Canadian employees accurately and on schedule
- Ensure compliance with federal state provincial and local payroll regulations
- Manage payroll changes including new hires terminations compensation updates deductions and garnishments
- Coordinate payroll tax filings year-end processing (W-2s T4s) and audits as
- Partner with Finance and HR to reconcile payroll data and resolve discrepancies
- Respond to employee payroll inquiries in a timely and professional manner
- Experienced in filing Workplace Safety and Insurance Board (WSIB) Employer Health Tax (EHT) Relevé 1 for Quebec and T2200 forms in Canada.
HR Support & Administration
- Support core HR functions including onboarding offboarding employee data maintenance and document management
- Reorganize the existing HR repository to ensure consistency accuracy and compliance
- Digitize paper-based personnel files and other HR records at the Greensboro office ensuring proper indexing and secure storage
- Maintain confidentiality and compliance with data privacy requirements (U.S. and Canada)
- Assist with audits compliance reviews and internal HR reporting as needed
- Provide general HR administrative support to the broader HR team
Process Improvement & Compliance
- Identify opportunities to streamline payroll and HR administrative processes
- Develop and document standard operating procedures (SOPs) for payroll and HR file management
- Ensure HR records retention practices meet legal and company standards
Qualifications
Required Qualifications
- 3 years of payroll and/or HR administrative experience
- Hands-on experience processing U.S. payroll; Canadian payroll experience
- Working knowledge of U.S. and Canadian payroll laws taxes and compliance requirements
- Strong organizational skills with experience managing physical and digital HR records
- High attention to detail and commitment to confidentiality
- Proficiency with HRIS and payroll systems (e.g. ADP UKG Isolved PayWorks Payfluence Ceridian Quota Path or similar)
- Strong communication and problem-solving skills
Preferred Qualifications
- Payroll certification (CPP PCP or equivalent)
- Experience supporting multi-state U.S. payroll
- Experience leading or supporting HR digitization or file conversion projects
- Familiarity with HR compliance and records retention requirements
Work Environment
- Hybrid role (On-site and Remote) role based in the Greensboro NC office
- Regular interaction with HR Finance and employees across the U.S. and Canada
- Hands-on work involving both digital systems and physical file management
