POSITION TITLE:
Accounting Technician
APPOINTMENT:
Appointed by the Chancellor of the College upon recommendation of the Vice Chancellor of Finance and Administration.
ORGANIZATIONAL RELATIONSHIP:
Reports directly to the Bursar and works closely with the Director of Accounting.
JOB SUMMARY:
The Accounting Technician plays a key role in the Business Office by performing a wide range of accounting cashiering and budget functions. This position is responsible for accounts receivable student account management cashiering reconciliations budget monitoring grant compliance and the preparation of financial reports. The Accounting Technician ensures compliance with federal state and college policies including FERPA Generally Accepted Accounting Principles (GAAP) and grant regulations. The position also assists in preparing the colleges annual budget and financial statements supports internal and external audits and serves as a backup for key accounting operations.
This role requires strong organizational skills attention to detail confidentiality and the ability to work collaboratively within a diverse campus community.
Minimum:
Associate degree
o Substitution:
Three years of experience in bookkeeping accounting payroll or numerical computation.
Preferred:
Bachelors degree in Business or Accounting
Higher education experience
Experience working in Microsoft Suites including Word Excel Outlook etc.
Experience with student fee set-up and billing
Previous cashiering experience
DUTIES AND RESPONSIBILITIES:
Duties to include but not limited to:
Cashiering & Accounts Receivable
Process student payments daily in Banner reconcile and balance assigned cash drawer and prepare deposits within 24 hours of receipt.
Post and reconcile accounts receivable including scholarships and third-party contracts.
Assist students and parents with account balances payment plans and 1098-T requests in compliance with FERPA.
Adjust student accounts as approved by the Bursar and process related refunds or fee removals.
Budget Reconciliations & Reporting
Perform monthly bank reconciliations daily bank reviews and bi-weekly payroll reconciliations.
Prepare and review budget adjustments generate budget and expenditure reports and identify variances.
Support fiscal year opening/closing activities and ensure timely completion of monthly and yearly financial closings.
Reconcile invoices purchase orders and requisitions; monitor open items for closure.
Grants Administration
Establish grant accounts reporting schedules and reimbursement procedures.
Serve as the colleges liaison with state federal and private grantors.
Monitor grant budgets and expiration dates review expenses for compliance and prepare reimbursement requests.
Maintain accurate grant accounting records including ledger entries and cost analysis reports.
General Accounting Support
Assist the Director of Accounting with accounts payable purchasing and payroll functions as needed.
Support preparation of the colleges annual financial report and budget.
Assist with internal and external audits by compiling schedules and supporting documentation.
Ensure compliance with state travel regulations and review related requests.
Administrative & Departmental Support
Manage scheduling and preparation of conference rooms at RPCC including technology and supplies.
Assist with departmental events meetings and other activities.
Maintain confidentiality of sensitive financial and personnel data.
Perform other duties as assigned.
