Job Summary

Grosvenor ownsand managesa 1.3bnprimeresidential portfolioof around 400 flats and houseslocatedacrossMayfair and Belgravia.We are a small team responsible for letting managing refurbishing andmaintainingthe portfolio with responsibility for our own P&L. We work in a fast-paced agileenvironment that requires both an autonomous and collegiate approach to our roles.

Thisrole issignificant inbeingresponsible forthe property management of the portfolio. You willbe responsible forthecontract management of our mainrepairs and maintenanceservice partner Ethos.You will own the R&M budget for our propertiesseeking value for moneywiththe maintenance costs. Alongside the Residential Property Manager and team apprentice both of whom you will manageyou will ensurefull complianceof the portfolioand excellent workmanshipand customer serviceof allreactive and plannedrepairsby Ethos and Nestor our serviced apartment provider.

This is a particularly exciting time to join the team as thecurrentstrategy for the portfolio is to improvetheoverall quality to ensure it is consistently market-leading and commanding premium rents.Accordingly we have a 50m allocation to upgrade our existing residential rental portfolioandthe property management team willbe requiredto work alongside the project managerand various contractorsto ensure seamless handoversand move-in processes.

The ideal candidate willpossessstrong analytical reporting and contract managementskillswith a keen eye for detail. They shouldenjoyproblem solving and delivering performance improvement withthe way wemaintainour properties and assets.We requireexcellent communicationand negotiationskills to effectively liaiseand handle difficult conversationswithcustomersandcontractors. And the right candidate will thrivein working as part of our small residential team as well as liaisingand collaborating withthe wider business.

Key Responsibilities

  • Responsible for the contract management of the M&E and fabric repairs and maintenance service partner Ethos. Ensuring value for moneyfrom Ethos and leading the tender/renewal process of thecontract in advance of its expiry early 2027

  • Responsible for thefinancial managementof all costs in the portfolio; budgeting for the year ahead for R&M works delivering works on budget and reportingon a monthly basisaccordingly

  • Managing the various R&M service partners(Ethos Nestor)to ensure that all works (reactive and planned) are completed on time and within budget.Attending site visits forhigher valueworks to ensure the scope is delivered to the requiredstandardvalueworks to ensure the scope is delivered to the required standard

  • Scrutinising and authorising quotes for reactive jobs within the portfolio authorising expenditure through our PO system and ensuring prompt approval of invoices for payment

  • Developing a streamlinedmoveinprocess to enhance the tenant experienceafter refresh or repair works have been completed

  • Responsible for managing all compliance activities in such a way that all propertiesfulfil statutory requirements at all times

  • Maintenance of allassetdata in our various CAFM systems

  • Acting upon and resolving supplier/service partner failures

  • Act asan inspiringline manager for the Residential Property Managerand team apprentice

Key Requirements

  • IWFM or equivalent Facilities Management qualification

  • Experience of working within the PCL residential market

  • Significant experiencein residential property / facilities managementandcontract management

  • Strong analyticalauditingand reportingskills with a keen eye for detail

  • Excellent customer service skills and strong at building relationships

  • Strong negotiation skills and ability to handle difficult conversations with tenantsandsuppliers

  • Strong capability of working in a very organised logical andtimelymanner with evidence of being effective at prioritising a large volume of activity

  • Business and commercial acumen ability to drive the best value for money fromour contracts

  • Experience with budgeting and understandingof P&L

  • Proficiencyin Microsoft Office Suite and facilities management software.
