Our Client is a boutique Australian law firm providing a wide range of legal services with a focus on personalised clientcentred advice.
The firm has multiple offices across Queensland including in Toowong Albany Creek and Noosa / Tewantin. The practice provides legal assistance to a wide range of clients both locally interstate and internationally and specialises in assisting defence force personnel with private legal issues.
JOB SUMMARY:
We are seeking a highly motivated and organized individual to join our team as a Wills & Estate Planning Admin. The successful candidate will play a crucial role in supporting lawyers and ensuring the smooth operation of our legal practice.
KEY RESPONSIBILITIES:
Wills
Open and manage files
Send Will Instruction forms to clients
Arrange appointments for clients requesting in-person meetings
Draft letters confirming client instructions and generate invoices
Draft Wills Enduring Powers of Attorney and Advance Health Directives
Send copies of signed documents to clients with final correspondence
Estates
Open and manage files
Draft Probate Applications and Letters of Administration
Arrange advertising and provide notice to the Public Trustee
Draft Client Services Agreements Disclosure Notices and initial letters to clients
Arrange appointments for signing applications
Order title searches and draft Records of Death and Transmission Applications
Draft letters to banks superannuation funds and retirement villages for release of assets
Source bank and institution-specific forms
Enter time into LEAP for billing purposes

At least 4 years experience in executive assistant or in a similar administrative role Experience with an Accounts Administration Role Proficiency in office software and productivity tools. Quickbooks Experience. Ability to work independently and collaboratively Desired Skills or Qualifications: Intermediate MS Excel and MS Word Certification Strong organizational and multitasking skills with meticulous attention to detail. Excellent written and verbal communication skills. Prior experience in rental properties a plus
