Job Summary

Archer is an aerospace company based in San Jose California building an all-electric vertical takeoff and landing aircraft with a mission to advance the benefits of sustainable air mobility. We are designing manufacturing and operating an all-electric aircraft that can carry four passengers while producing minimal noise.

What Youll Do: We are seeking a proactive and highly organized Project Operations Specialist to serve as the engine room of the AI and Product organization. This hybrid role sits at the intersection of leadership finance and people operations ensuring the teams daily operating rhythm remains seamless. You will act as both a Project Coordinatortracking critical goals and follow-upsand an Administrative Partner managing the complex logistics that keep a high-growth organization running. The ideal candidate thrives in fast-paced environments and excels at turning strategic chaos into operational excellence.

Key Responsibilities:

Strategic Coordination & Information Flow:

  • Partner with Program Management and Leadership to design and execute the organizations meeting cadence
  • Identify the critical path for cross-functional collaboration to prevent siloed decision-making
  • Drive rigorous follow-ups across teams to ensure deadlines are met and proactively escalate bottlenecks
  • Execute complex multi-stakeholder calendar deconfliction and end-to-end travel planning (itineraries bookings and visa requirements)
  • Facilitate and manage the operational logistics of quarterly planning cycles

Operational Infrastructure & Finance:

  • Serve as the organizations Librarian maintaining Google Drive structures mailing lists and Slack hygiene to ensure information discoverability
  • Manage the full lifecycle of spend management including PO creation corporate card reconciliation and budget partnership with Finance
  • Own Onboarding Excellence managing the Day 1 through Day 30 experience for new hires to ensure rapid integration
  • Oversee contractor management workflows for the leadership team to ensure compliance and continuity

Organizational Health & Process:

  • Identify and remediate broken workflows by designing lightweight templates and standardized processes
  • Lead the logistics for team offsites celebrations and all-hands meetings to drive high morale and team cohesion
  • Act as a central point of contact for organizational health initiatives and cultural events

What You Need:

  • Bachelors degree or equivalent professional experience
  • 5 years of experience in executive administration or similar high-level operational support roles
  • 3 years of experience in project management or program coordination within a professional environment
  • Ability to be onsite/in-office 5 days a week
  • A self-starter mindset with the ability to identify gaps and fill them without explicit direction
  • Proven ability to handle high-trust sensitive information (salary data pivots travel) with total confidentiality
  • Expertise in Google Workspace Slack and project management software (Smartsheet Jira etc.)
  • Strong experience in calendar management travel logistics and basic financial reconciliation
  • Ability to interface with senior executives and cross-functional stakeholders with clarity and poise
  • A knack for fixing inefficient processes and scaling operational infrastructure

Bonus Qualifications:

  • Experience working within an AI or high-growth Product organization
  • Background in Finance Operations or People Ops/HR coordination
  • Familiarity with scaling internal communications and document management systems
  • Prior experience in a Chief of Staff support capacity or similar high-impact administrative role

We drive a pay-for-performance culture and reward performance that supports the Companys business strategy. For this position we are targeting a base pay between $102000 - $130000. Actual compensation offered will be determined by factors such as job-related knowledge skills and experience.
