We are looking for a detail-oriented and proactive TA Pre-Onboarding Specialist to join an international Talent Acquisition team and support a smooth compliant and positive pre-employment experience for new hires across Poland (Warsaw & Krakow).
This role focuses on managing the administrative and coordination aspects of the hiring process from offer acceptance through Day 1 ensuring accuracy legal compliance and an excellent candidate experience.
What Youll Be Doing

Coordinate and manage all administrative tasks related to the pre-onboarding process
-
Prepare and issue employment contracts and offer letters in line with Polish labor law and internal policies
-
Collect verify and maintain required documentation (e.g. ID tax data social security numbers diplomas)
-
Maintain accurate records in Talent Acquisition systems and ATS platforms
-
Coordinate with internal teams such as Payroll IT and Facilities to ensure Day 1 readiness
-
Act as the main point of contact for new hires regarding pre-employment questions and timelines
-
Ensure compliance with local employment regulations and internal procedures
-
Contribute to continuous improvement initiatives within the pre-onboarding process
What You Bring
-
Previous experience in HR administration recruitment coordination or a similar role
-
Good understanding of Polish labor and employment regulations
-
Strong organizational skills and excellent attention to detail
-
High level of confidentiality and professionalism
-
Excellent communication skills in Polish and English (written and verbal)

Proficiency in MS Office and experience with ATS / TA systems
-
Bachelors degree in Human Resources Business Administration or a related field (preferred)
