What Youll Do
As a Client Operations Specialist youll play a key role in ensuring every customer receives exceptional service.
Your responsibilities include:
Service & Technician Coordination
- Respond quickly and professionally to incoming service requests via phone email and online portals.
- Research customer concerns identify needs and determine the best course of action.
- Support accurate scheduling for technicians managers and customers.
- Assist with routing mapping and assigning service calls.
- Handle complaints and service issues with empathy and a solutions-oriented approach.
- Document service issues schedule changes and communications to keep everyone aligned.
- Review callbacks and after-hours messages escalating when necessary.
Account & Billing Support
- Help customers understand their invoices navigate the customer portal and process payments.
- Perform accounts receivable tasks including outbound collection calls and invoice resends.
- Support account updates and special billing requirements.
- Document all actions and escalate payment issues appropriately.
Documentation & Compliance
- Maintain accurate service records and compliance documentation.
- Process technician licensing applications and renewals.
- Quality check service reports to ensure accuracy.-check service reports to ensure accuracy.
Technical & Administrative Support
- Provide first-tier technical support for customers
- Enter sales leads pricing and account details into the CRM system.
- Run and distribute scheduled operational reports.
Team & Operations Support
- Collaborate closely with technicians operations teams and home office support.
- Assist with communication routing and operational alignment across teams.

What You Bring to This Role
Education & Experience
- 2 years of customer service experience
- 1 year in a call center or office environment
- High school diploma or equivalent
Skills & Competencies
- Excellent written and verbal communication
- Strong conflict resolution and problem-solving abilities
- Organized efficient and able to prioritize in a fast paced environment-paced environment
- Comfortable working independently with minimal supervision
- High attention to detail
- Proficiency with Microsoft Office CRM systems and billing platforms
- Quick to learn new technologies
Work Environment
- Primarily computer-based work at a desk
- Regular communication with customers and team members
- Occasional walking reaching and light lifting (up to 25 lbs)
