The Information Systems (IS) Specialist position is responsible for working with our managed services provider to support the management and maintenance of Advanced Energys Microsoft 365 environment ensuring optimal performance security and availability. Individual will administer online database SharePoint CRM systems and help users streamline processes using workflow. This is a 30-hour per week position.


Essential Functions

Information Systems Operations Support

  • Connect laptop devices for remote configuration by outsourced managed services provider.
  • Reboot network equipment as needed and assist with basic troubleshooting.
  • Provide general support for conference room A/V sound masking and security systems in coordination with administrative staff.
  • General onboarding and offboarding tasks for users.
  • Administer and maintain office security access.
  • Coordinate home office equipment orders and new laptop purchases.
  • Maintain inventory of IT peripherals (mice keyboards headsets etc.).
  • Process IT-related invoices and credit card expenses.
  • Develop and maintain documentation for system configurations and procedures.
  • Work as a team member with other technical and professional staff on projects.
  • Conduct technical training as part of New Employee Orientation.
  • Maintain confidentiality with regard to information being processed stored or accessed over the network.
  • Work with staff to develop and maintain online databases such as Kintone for specific project needs.
  • Coordinate support requests with outside vendors.

Microsoft 365 Exchange SharePoint and Teams

  • Coordinate with managed services provider for Microsoft 365 account/policy changes.
  • Manage and track software app and maintenance renewals.
  • Manage Microsoft 365 licenses in collaboration with managed services provider.
  • Configure and maintain SharePoint lists and Power Automate workflows.
  • Clean modify and repair computer hardware and peripherals including monitors keyboards printers etc.
  • Configure and maintain CRM environment.
  • Troubleshoot escalate and report any Microsoft system issues not already covered by the managed services provider.

Information Security

  • Manage ongoing security awareness training for staff and ensure all staff complete required assignments.
  • Manage ongoing security awareness campaigns for staff.

Technical Expertise

  • Conduct research on available technologies and solutions and share knowledge with team.
  • Maintain own technical and professional knowledge by attending workshops and reviewing professional publications.
  • Recommend improvements to processes and procedures.
  • Develop expertise through targeted development activities and new job experiences.
Requirements
  • Associates degree in Information Systems Computer Science or related field with 4-6 years of experience as a helpdesk representative Microsoft 365 administrator or other technical related experience is required. An equivalent combination of education and relevant work experience may be considered.
  • Intermediate experience with MS Windows 10/11 Microsoft 365 and associated applications Dynamics 365 SharePoint Entra ID Power Automate.
  • Experience in Microsoft 365 administration.
  • Experience designing SharePoint workflows using multiple inputs lists and Power Automate processes.
  • Experience with Kintone online databases preferred.
  • General knowledge of computer hardware and software products and applications.
  • Excellent communication problem solving and organization skills.
  • Strong attention to detail and able to work independently as well as collaboratively with team members.
  • Ability to prioritize requests.
  • Exceptional customer service skills; must enjoy assisting others and have a positive can-do attitude.


Physical Demands/Work Conditions

This job requires the individual to work indoors in a normal office environment. The duties and responsibilities of this position may include the ability to remain in a stationary position for most of the time. The individual will operate the computer printer and other office equipment to perform the job and may need to occasionally move about inside the office to access files and other office machinery. The individual will spend an extended number of hours in front of a computer screen and will frequently interact and communicate with internal and external customers. Must be able to exchange accurate information and express oneself in an appropriate manner. The job may require occasional lifting or moving of boxes or objects weighing up to 25 lbs.


Employment Type

This is an onsite hourly non-exempt position. Hours are anticipated at 30 per week. The individual will receive separate or additional remuneration for work in excess of 40 hours per week.
