The Mail Coordinator is responsible for the accurate receipt sorting distribution and dispatch of incoming and outgoing mail and packages. This role ensures timely delivery of correspondence and supports daily office operations through reliable mailroom management.

QUALIFICATIONS

  • High school diploma or equivalent
  • Prior mailroom or clerical experience preferred but not required
  • Basic computer skills and familiarity with office equipment
  • Must be detail-oriented and maintain high level of accuracy on all projects
  • Excellent organizational and sorting skills
  • Ability to lift and move packages (typically up to 50 pounds)
  • Dependable punctual and able to follow established procedures
  • Team player mentality
  • Flexible with a positive and helpful attitude

ESSENTIAL FUNCTIONS/AREAS OF ACCOUNTABILITY

  • Receive sort and distribute incoming mail packages and deliveries
  • Prepare outgoing mail including weighing labeling and scheduling pickups when necessary Operate and maintain mailroom equipment such as postage machine and scanners
  • Track and log certified and priority mail
  • Daily sorting/distributing of returns from the scanning vendors
  • Ensure confidential and sensitive materials are handled appropriately
  • Coordinate with carriers (USPS UPS FedEx couriers) as needed
  • Maintain organized mailroom and supply inventory
  • Assist with basic administrative tasks such as copying or document delivery
  • Report delivery issues delays or discrepancies promptly
  • Timely filing of records in client charts
  • Support archiving activities for office documentation
  • Send weekly shipments of records to state offices
  • All other duties as assigned

The typical base pay range for this role is USD $17680 - $23920 per year.

Individual base pay depends on various factors in addition to primary work location complexity and responsibility of role job duties/requirements and relevant experience skills and other market-based factors.
