Job SummaryUnder general supervision provides professional and administrative support for program managers and program staff. Coordinates the work of internal and external stakeholder teams including meeting preparation logistics note taking and the distribution of all necessary materials and communications. Supports and maintains project specific related information timelines and databases. Tracks and compares program spending against approved budgets. Assists with organizing writing and editing program reports and grant applications. Provides clerical functions as needed and serves as a point of contact for the program to answer and direct inquiries in the appropriate manner.
Essential Functions:
- Works independently promptly and professionally while supporting staff members and responding to requests. (10%)
- Works with Program Managers to design develop implement improve and maintain processes to track a variety of program deliverables. (10%)
- Creates and maintains records management systems to track timelines deliverables and due dates. (10%)
- Leads program deliverable activities as assigned. (10%)
- Enters program data into Excel Access or other data management systems. (5%)
- Imports exports sorts and maintains (cleans) data. (5%)
- Assists with program evaluation and data collection process. (5%)
- Coordinates the purchasing of supplies and monitors and tracks expenditures. (5%)
- Monitors contract execution process with partner organizations to ensure timely completion. (5%)
- Develops and maintains communication with contractors community partners and vendors to facilitate timely and complete documentation of deliverables and expenses. (5%)
- Acts as a point of contact for the program. (5%)
- Completes special projects and performs fiscal analysis as assigned. (5%)
- Prepares and modifies reports presentations and other documents using a variety of software platforms (Word Excel Visio PowerPoint Prezi). (5%)
- Proofreads and edits a variety of letters reports and other correspondence with responsibility for format spelling punctuation grammar and arrangement of attachments and appendices. (5%)
- Works closely with Program Managers to plan and support a variety of events and meetings both on and off campus and during non-standard business hours. (5%)
- Actively participate in departmental and agency working groups as assigned. (5%)
Education:
- High School Diploma or GED Required
Work Experience:
- 4-6 years of related experience in clerical administrative or program support Required and
Licenses:
Knowledge Skills and Abilities:
- Effective verbal and written communication and interpersonal human relations skills.
- Ability to prioritize lead tasks and take initiative to achieve daily work expectations independently.
- Ability to troubleshoot issues and utilize problem solving skills.
- Proficient in complete Microsoft Office Suite.
- Proficient in data entry into spreadsheets and databases.
- Ability to use scheduling systems and coordinate meetings reserve conference room space and equipment and communicate with participants.
