ABOUT THE ROLE:
This is an evolution of the traditional Studio Assistant/Manager role. Ideal for someone with a real get-up-and-go attitude who thrives on ownership autonomy and responsibility. You will be the heartbeat of our growing 20 person Amsterdam Studio a proactive positive and highly organised human who champions our culture supports our people and keeps the studio running smoothly. Alongside core studio and facilities responsibilities this role takes additional ownership for studio resourcing and people support. Youll be a trusted point of contact for our people a strong communicator and someone who enjoys supporting others and making our employee experience the best it can be.
Your main duties and responsibilities include:
Front of House & Studio Operations:
Acting as the primary point of contact for the Amsterdam Studio ensuring the office is a welcoming inspiring and well-run environment
Planning and preparing for client meetings workshops internal sessions ensuring meeting rooms are set up with the correct equipment and materials
Coordinating hospitality for clients and teams including ordering and serving refreshments when required
Monitoring meeting rooms and shared spaces to ensure they remain tidy functional and on-brand
Managing incoming calls deliveries and post ensuring all communications are handled professionally
Booking couriers taxis restaurants and ad-hoc travel when required
Facilities & Office Management:
Full ownership of day-to-day facilities management for the Amsterdam studio
Ordering and managing office supplies food drinks stationary and pantry items
Overseeing office cleaning and maintenance liasing with landlords and suppliers as needed
Managing supplier relationships contracts NDAs and new vendor set up
Ensuring Health & Safety procedures are up to date including fire regulations risk assessment local compliance requirements and warden duties
Be an active part of the agency Green Team and source sustainable products
Ensure all relevant risk assessments have been carried out (ie. pregnant employees).
Acting as key point of contact between the Amsterdam Studio and London-based Finance IT and People teams
Coordinating IT needs with the London IT team and supporting desk and equipment set up for the new starters and leavers
Organising studio travel including the booking of flights accommodation and taxis for the Amsterdam team and visiting colleagues
Rescourcing & Studio Support
Supporting Studio resourcing by coordinating schedules tracking availability and flagging capacity challenges
Working closely with the London Teams to ensure resourcing information is accurate and up to date
Acting as an organised solutions-focused partner to help the studio operate efficiently and sustainably
People & Culture:
Supporting onboarding for new joiners ensuring they feel welcomed supported and embedded in our team and culture from day one
Championing Bulletproofs values behaviours and culture through daily interactions
Organising internal moments that bring people together from studio events and celebrations to cultural initiatives
Liaise closely with the EMEA People teams to bring consistency to cultural initiatives across all of our studios
Managing birthday calendars leaving moments and other team celebrations
Keeping a pulse on studio morale and proactively suggesting ideas to improve experience and wellbeing
Communication:
Acting as a confident and clear communicator across all levels of the business
Build strong relationships with the AMS team and wider Bulletproof teams
Take ownership show initiative and lead by example
Support our people with a calm positive and solutions-focused mindset
Champion the Amsterdam studio internally and externally as a proud ambassador of bulletproof
RequirementsIf you tick all of the boxes below we could be a perfect match!
- Speak Dutch to a professional standard (or native speaker) and strong communication skills
- Previous experience in a senior studio assistant office manager workplace or people-support role
- 4 days a week (8.30am - 5.30pm) based in the office
- Ability to manage multiple priorities in a fast-paced and creative environment
- Excellent written and verbal communication skills
- Warm personality and excellent phone manner
- Proactive flexible team member with well-developed interpersonal skills
- Excellent organisational skills
- Excellent planning and time management skills
- Exceptional attention to detail and problem-solving skills
- Proficient in Microsoft Office and Apple products
- Comfortable working closely with remote teams and stakeholders
