Responsibilities
POSITION OVERVIEW
The Executive Assistant to CEO is responsible for providing exceptional comprehensive administrative support to the Chief Executive Officer and member of the Board. The Executive Assistant to CEO is an invaluable partner and support to the CEO who counts on him/her to be efficient and detail oriented; to look ahead anticipate needs and connect dots; to work collaboratively with colleagues at all levels; and demonstrate a positive solution-oriented mindset.
KEY RESPONSIBILITIES
- Plan and manage workload with the highest regard for key priorities deadlines and best practices
- Effectively manage CEOs professional and personal calendars ensuring that scheduling priorities reflect strategic and business priorities and demonstrating flexibility as meetings and priorities shift
- Organize content and manage timely flow of information to senior executives and/or Board members
- Maintain complete up to date physical and electronic files for CEO
- Coordinate and communicate with a number of internal and external resources to help the CEO maintain smooth timely workflow
- Arrange and confirm CEOs travel including booking of flights hotels transportation meals etc.
- Maintain the highest standards of professionalism discretion and confidentiality with all materials and information
- Take on special projects as assigned
- Budget management and tracking including reconciling invoices
- Board of Director Management including logistics & travel food and printed materials
- Coordinates with the entire administrative team to ensure flow of information
REQUIRED EXPERIENCE & QUALIFICATIONS
- Bachelors degree additional years of experience considered in lieu of degree
- 7 years of successful administrative experience previous experience with a senior executive
CRITICAL SKILLS & ATTRIBUTES
- Proficiency with Google Workspace and aptitude to learn new software and systems
- Ability to effective juggle multiple projects priorities and deadlines
- Solid time management practices
- Natural problem solver with a positive solution-oriented mindset
- Flexible adaptable and resourceful
- Excellent interpersonal and communication skills (written and verbal)
- Able to take initiative where appropriate and ask for guidance or clarification where needed
