Position Summary

The part-time Event Services Associate reports directly to the Senior Events Manager Arvest Convention Center. This position will assist the Event Services Department in all aspects of events at the Arvest Convention Center.


This role pays an hourly rate of $20.00

About the Venue

The Arvest Convention Center is located in the Arena District in downtown Tulsa ACC is a modern and award-winning venue providing over 275000 SF of flexible event space. Owned by the City of Tulsa for over 50 years the ACC has been host to every kind of event imaginable!

Responsibilities

  • Monitor early morning load-ins events and late night load-outs in the facility maintaining close contact with clients and venue staff to ensure successful events; follow up on all client requests concerns and issues during the event to ensure resolution
  • Verify that event spaces have been set accurately to client specifications
  • Assist with preparation of event materials throughout the planning and execution of major events such as Exhibitor Services storefronts staffing and reports digital and directional signage and post event surveys
  • Research review and recommend equipment materials and supplies required to make an event successful.
  • Learn and ensure all laws codes ordinances policies procedures risk management safety precautions rules/regulations and emergency procedures are followed by working alongside the event managers
  • Ensure that the integrity of the facility is upheld in the manner that we and our guest are accustomed to
  • Respond to crowd control and/or crowd management situations in a prompt and decisive manner and orally respond in a professional and diplomatic manner during crisis and/or sympathetic situations
  • Respond to visual and audible alarms from building automation and life safety systems. Make immediate decisions and communicate with all users of the facility in an emergency
    Resolve problems in a timely manner; analyze and gather information and identify alternative solutions quickly and effectively
  • Attend team and client meetings as necessary; develop and maintain a harmonious working relationship with all clients external vendors third party contractors internal departments and other stakeholders of events
  • Contribute to the success of department goals
  • Maintain a professional image generate positive public relations and provide excellent customer service to clients guests and staff working in the facility
  • Provide support to Event Managers and their assigned events as needed
    Perform other duties as assigned by the Senior Event Manager - ACC

Qualifications

Minimum Education/Experience

  • High school or GED certificate graduate required
  • In progress or completed associate or bachelors degree from an accredited college or university in theatre production events hospitality or a related field preferred but not required
  • Experience in event coordination or equivalent combination of education and student activities experience is preferred
  • Customer service experience preferred

Qualifications/Skills

  • Strong verbal and written communication skills
  • Proficiency in Microsoft Office programs (Microsoft Word and Excel) and willingness to learn new software
  • Ability to work well in a team-oriented fast-paced event-driven environment
  • Perform light lifting and carrying at times
  • Extremely organized and detail-oriented quick learner and great time management skills.
  • Be licensed and insured to operate a motor vehicle in the State of Oklahoma
  • Work extended and/or irregular hours at Arvest Convention center events including nights and weekends
