JOB TITLE:
Administrative Assistant Level IV and Front Office Receptionist
SUMMARY OF POSITION/PURPOSE:
To complete duties as listed below.

EDUCATION REQUIRED/PREFERRED:
High School Diploma
EXPERIENCE REQUIRED/PREFERRED:
Minimum three years experience in related profession.
CERTIFICATE/LICENSE:
N/A
ESSENTIAL FUNCTIONS AND RESPONSIBILITIES:
- Perform fingerprinting services for background checks in accordance with district state and federal requirements; verify identification ensure proper documentation maintain equipment and supplies and uphold strict confidentiality throughout the process.
- Greet and assist visitors in a professional courteous and helpful manner
- Answer screen and route incoming phone calls and emails appropriately
- Maintain a welcoming organized and secure reception area
- Provide general information to the public regarding district programs procedures and contacts
- Receive sort and distribute mail deliveries and interoffice correspondence
- Schedule appointments and manage calendars for district administrators as assigned
- Assist with document preparation copying scanning filing and data entry
- Maintain confidentiality of sensitive student personnel and district information
- Assist with district events meetings and trainings as needed
- Monitor building access and follow visitor sign-in and security procedures
- Support other administrative staff and departments with clerical tasks as assigned
- Assists with Sunshine Committee initiatives.
- Compiles and submits reports as required by District Office.
- Builds templates for reports that need to be generated on the school computer.
- Type correspondence for Administration.
- Other duties as assigned.
KNOWLEDGE SKILLS & ABILITIES REQUIRED:
- General computer skills
- Data Base Management
- Spreadsheet use
- Proficiency with Microsoft Office and/or Google workspace
- Ability to work with staff student and public in a positive and professional manner.
- Ability to multi-task with few or no errors.
- Maintain confidentiality of school records under FERPA and HIPPA guidelines.
