Job Summary

SH-827- Project management specialist Florida. Position Overview

We are seeking a reliable and detail-oriented Project Management Specialist to support facilities operations logistics and asset management across multiple sites. This role plays a vital part in ensuring safe efficient and compliant workplace environments through coordination of moves inventory vehicle management and disaster preparedness. The ideal candidate is highly organized professional and comfortable working independently across a wide geographic region.

Key Responsibilities

Time & Administrative Compliance

  • Accurately log and report work time in accordance with agency requirements.

  • Follow directives from supervisors and team leaders.

  • Maintain consistent communication via phone and email with internal teams across the agency.

Vehicle & Equipment Management

  • Comply with CFOP 40-2 Vehicle Management by maintaining assigned state vehicles and submitting monthly vehicle logs on time.

  • Ensure proper use care and accountability of all issued tools and equipment.

  • Arrive at all sites prepared with appropriate hand dollies and tools required to complete assigned tasks.

Facilities & Logistics Support

  • Assist with internal and external departmental moves including coordination with IT during equipment relocations.

  • Safely move large and heavy items (e.g. desks filing cabinets) using proper equipment and in compliance with CFOP 215-4 Safety & Loss Control.

  • Supply employees with furniture desks and equipment as needed.

  • Install whiteboards corkboards and framed items throughout offices and hallways.

Inventory Surplus & Warehouse Operations

  • Dispose of surplus materials and furniture in accordance with CFOP 80-2.

  • Transfer surplus IT equipment to the Wildwood warehouse.

  • Maintain warehouse organization ensuring aisles remain clear and the space is kept neat and orderly.

  • Request supplies or purchase orders promptly; never authorize services without an approved purchase order.

Access & Security Management

  • Make keys for authorized employees and maintain an accurate key distribution log.

  • Manage keycard access systems for multiple sites.

  • Ensure all facilities are free of safety issues prior to departure; address hazards immediately.

  • Respond appropriately to trespassing incidents by requesting individuals leave state property; contact 911 and notify designated leadership if refusal occurs.

Site Coordination & Inspections

  • Conduct site inspections as directed across the region.

  • Ensure facility systems (AC lighting etc.) are operating properly to support employee comfort and productivity.

  • Introduce yourself professionally at each site and distribute business cards; develop and maintain a site contact directory.

  • Learn site locations layouts and key contacts; utilize GPS as needed for regional travel.

Emergency & Disaster Response

  • Assist with Disaster Management preparation and recovery efforts when the State of Florida is impacted by hurricanes or other emergencies.

Required Skills & Qualifications
  • Communication Skills: Ability to communicate professionally and clearly with staff leadership and external contacts.

  • Organizational Skills: Strong ability to manage multiple tasks sites and priorities simultaneously.

  • Technical & Mechanical Aptitude: Comfortable using tools dollies access systems and facility-related equipment.

  • Safety Awareness: Knowledge of workplace safety standards and ability to identify and address hazards promptly.

  • Problem-Solving Ability: Capable of working independently and resolving on-site issues efficiently.

  • Customer Service Orientation: Professional demeanor when interacting with employees and the public.

Position Requirements
  • Ability to travel regularly between sites across the region.

  • Willingness to assist during emergency and disaster response operations.

  • Adherence to all applicable CFOP policies safety standards and agency procedures.

  • Commitment to maintaining confidentiality professionalism and accountability at all times.
