Actual starting pay rate will be determined after a review of the work experience provided on the job application and resume. GENERAL STATEMENT OF DUTIES:Provides Human Resources support service functions for The Classical Academy. Coordinates all aspects of the substitute system including hiring supporting and filling daily RELATIONSHIP:Reports to the Director of Human ResourcesThe following statements are illustrative of the essential functions of the job and do not include other non-essential or marginal duties that may be required. The Classical Academy reserves the right to modify or change the duties or essential functions of this job at any JOB FUNCTIONS: Executive Assistant:Coordinates all volunteer applications including parent and non-parent volunteers volunteer coaches student teachers vendors Raptor Volunteer Management System includes configuration of application and database maintenanceCommunicates with prospective volunteers regarding background information maintaining strict confidentialityAssists with pay/benefits orientations HRIS database entry background and I-9 verificationCreates and maintains employee personnel filesAnswers telephone and provides information to Human Resources customersInterprets and explains TCA personnel procedures to Human Resources customersPerforms Human Resources reception duties makes appointments for applicants and employees with Human Resources Director Compensation and Benefits Coordinator or Employee Relations and Recruitment Coordinator when necessaryVerifies employment of current and past employees to outside agenciesAssists the Director of Human Resources to track review edit and post Personnel policies and proceduresMaintains various staff databases surveys and reports including evaluations and staff directorySubstitute Coordinator:Determines substitute hiring needs each year and hires accordinglyPerforms all aspects of the substitute recruiting and hiring process: conducts interviews performs reference checks hosts orientations and sets up substitutes in substitute scheduling systemCommunicates TCA policies procedures and expectations to new substitutesAdministers substitute counseling and issue mitigationConfigures and maintains substitute scheduling and system to include maintaining substitute and employee profiles and system definition and set-up for appropriate performanceMaintains oral and written communications with teachers substitutes and principals to include administering employment status and termination documents e.g. substitute performance appraisals and administrator feedbackCoordinates with Finance personnel to ensure accurate sub pay receipts and leave reconciliationMonitors Substitute scheduling system for accurate data/scheduling adjusts as neededCommunicates resources and training opportunities to substitutesProvides substitute metricsMARGINAL JOB FUNCTIONS:Performs routine word processing activities related to departmental functionsOpens sorts and distributes incoming mail and/or prepares outgoing mail as requiredPerforms a variety of duties using different types of office equipmentMaintains HR office filing systems in accordance with state and federal lawsParticipates in various Admin committees as assigned by the Human Resources DirectorPerforms other duties as assignedMINIMUM QUALIFICATIONS:EDUCATION:High School diploma or GED equivalent requiredBachelors degree in Human Resources or related field preferredEXPERIENCE:Two years administrative experience requiredFull cycle Human Resources experience is preferredKNOWLEDGE SKILLS AND ABILITIES:Familiarity with Human Resources policies and proceduresKnowledge of and demonstrated successful experience in human relations and communicationsProficient in Microsoft Outlook Word and ExcelGeneral office experience with strong attention to detailStrong organizational skillsAbility to greet public in a courteous and professional mannerConsiderable knowledge of computer equipment and related software utilized within the Human Resource DepartmentAbility to compile and analyze statistical reportsAbility to handles confidential information in a discreet and professional mannerAbility to mediate and resolve interpersonal conflictsAbility to work independently on major assignmentsAbility to operate standard office equipment performing a wide range of office management tasks independentlyAbility to follow oral and written instructionsAbility to communicate effectively verbally and in writing including public speakingAbility to make decisions and problem solve under pressureSCOPE OF INTERPERSONAL CONTACTS:SubstitutesAdministratorsSupervisorsAll departmentsOffice staff at each campusVolunteersOther agencies including Academy District 20Visitors to the schoolContacts are generally of a nature requiring disseminating and discussing routine involve employee issues and are sensitive in nature requiring a high degree of professionalism and ENVIRONMENT:Work is generally performed within a standard office to work normal business hours and additional hours as needed for substitute coordinatingPHYSICAL DEMANDS:The following are some of the physical demands commonly associated with this position.
