HR Operations Associate (Entry-Level / Fresh Graduate)

Role Purpose
This role exists to ensure accurate execution fast follow-through and proactive coordination across our HR and talent operations. You will support both candidates and client stakeholders on operational matters ensuring processes run smoothly and communication is clear and timely.
This is a purely operational role. Success is measured by accuracy responsiveness and initiative.
Key Responsibilities
Operational Execution & Accuracy
- Maintain accurate and up-to-date candidate and process records
- Ensure schedules confirmations and status updates are correct and consistent
- Follow defined processes precisely and flag inconsistencies early
Candidate & Client Coordination
- Coordinate interviews assessments and follow-ups with candidates
- Communicate with client stakeholders on scheduling timelines and process status
- Respond promptly to candidate and client messages related to coordination
- Track open items and ensure timely closure without repeated follow-up
Responsiveness & Initiatives
- Monitor daily workflows to anticipate delays or issues
- Proactively surface risks or gaps with clear practical next steps
- Support documentation of processes templates and checklists
Social & Network Engagement
- Support candidate engagement and outreach on professional networks (e.g. LinkedIn)
- Handle coordination-level interactions only (no selling no interviewing)
Requirements
- Fresh graduate or final-year student in Human Resources or a related field
- Strong attention to detail and accuracy
- High responsiveness and comfort handling routine stakeholder communication
- Good English proficiency (written and spoken)
- Professional calm communication style with external stakeholders
- Familiarity with social and professional networks (especially LinkedIn)
- Able to work remotely while being based in Ho Chi Minh City
Nice to Have (Not Required)
- Internship or part-time experience in HR recruitment or operations
- Experience coordinating with external stakeholders
- Exposure to structured workflows or service delivery environments
