The Smithsonian Institution is the worlds largest museum education and research complex with 21 museums and the National Zoo. This position is in the National Museum of African American History and Culture (NMAAHC). The National Museum of African American History and Culture is a national museum for the study and exhibition of African American history and culture.
The Management Specialist reports to the Associate Director Office of Curatorial Affairs National Museum of African American History and Culture (NMAAHC) and is responsible for providing budget financial and administrative support to include managing procurement property travel and other administrative functions.
In this position you will:
- serve as principal assistant and advisor providing advice in the review evaluation and coordination of all activities and assignments requiring the attention of the Associate Director (AD). Advise the AD on financial and budgetary procedures.
- ensure Associate Director maintains regular interaction with direct reports and key leaders throughout the with key staff members in determining project needs defining project goals setting priorities and developing project work plans.
- procure goods and services by verifying the availability of funds preparing contracts and purchase orders and ensuring that goods and services are received accounted for and paid for services rendered.
- produce written drafts of various correspondence for senior staff review and dissemination. Respond to mail and email. Draft and edit material.
- review and/or approve travel authorizations/vouchers in Smithsonian travel system. Prepare materials such as correspondence reports and briefing slides using a variety of office software.
- ensure smooth and continuing communications and liaisons with a wide range of colleagues within the Smithsonian executives and managers in subordinate organization and representatives of numerous external organizations both national and internationally.

Basic Qualifications: Experience that equipped the applicant with the knowledge skills and abilities to perform successfully the duties of the position and that is typically in or related to the work of the position to be filled.

Experience: You qualify for this position if you have one year of specialized experience equivalent to at least the GS-09 level in the Federal Service. For this position specialized experience is defined asdemonstrated experiencemanaging operational logistics; responding to inquiries in writing and orally; maintaining calendar of meetings/events; managing and tracking a variety of funds; preparing procurement packages for supplies services and/or equipment etc.; coordinating and managing travel arrangements and preparing travel vouchers; establishing suspense system to log and track correspondence reports meetings etc. and reviewing correspondence to ensure grammatical correctness.
