Job Description
The Administrative Support Associate III is responsible for coordinating and scheduling meetings while facilitating clear and effective communication with internal teams and external partners. This role involves preparing accurate correspondence and reports to support organizational goals and informed decision-making. The position also requires tracking and maintaining project timelines and deadlines to ensure timely completion of tasks. Additionally the Associate provides facilities-related follow-up responding to inquiries regarding project status and tasks associated with elections preparation.
Essential Duties- Coordinating schedules meetings and travel arrangements for staff and leadership
- Managing communications by responding to emails calls and internal requests
- Preparing updating and organizing documents reports and presentations
- Supporting daily office operations and providing administrative assistance across departments
- Gathering and organizing information to support reports projects and decision-making
- Planning and coordinating meetings events and conferences including logistics
- Creating agendas recording meeting minutes and distributing materials
- Tracking deadlines and project progress to ensure timely task completion
- Providing general office support and assisting staff with access to resources
Grade
The grade for this position is B23(1).
Effective 4/11/2023 this position is eligible for the Employee Referral Program.
Minimum Qualifications
- High School Diploma or G.E.D. AND
- Up to one year of specialized or technical training in administrative support or related field and four years of administrative support or related office experience; OR
- An equivalent combination of education and experience sufficient to successfully perform the essential duties of the job such as those listed above.
Preferred Qualifications in addition to the above minimum qualifications
- 2 years of specialized or technical training in administrative support.
