Business Assistant / Business Support Assistant
Location: Phoenix AZ (Hybrid 2 days in office)
Reporting to: Senior Leadership Team
Were looking for a highly organised detail-oriented Business Assistant to provide high-quality support to senior stakeholders. This role is ideal for someone who thrives in a fast-paced corporate environment enjoys being the go-to person and takes pride in keeping things running smoothly behind the scenes.
Youll be supporting senior leaders managing complex diaries coordinating across teams and handling day-to-day administrative and operational tasks that keep the business moving.
Key Responsibilities
Providing proactive business and administrative support to senior stakeholders
Managing complex and ever-changing calendars including coordination with other assistants
Scheduling meetings preparing agendas and ensuring follow-ups are tracked
Handling expenses invoices and expense reporting accurately and on time
Creating and formatting presentations and documents (PowerPoint Word Excel)
Acting as a key point of contact for internal and external stakeholders
Collecting compiling and maintaining monthly reports and information
Supporting ad-hoc projects and business initiatives as required
Ensuring confidentiality and professionalism at all times
Essential Skills & Experience
Proven experience as a Business Assistant Executive Assistant or Team Assistant
Strong proficiency in Outlook PowerPoint Teams and expense management tools
Excellent attention to detail and accuracy
Confident working independently while being a strong team player
Comfortable supporting senior leaders in a corporate environment
Strong organisational and time-management skills
Clear professional communication skills (written and verbal)
Nice to Have (Non-Essential)
Experience supporting multiple senior stakeholders simultaneously
Exposure to reporting data collation or basic analysis
Experience working in a fast-growing or matrix organisation
Confidence improving processes or suggesting more efficient ways of working
