Purchasing Agent Description: Serving the Augmentative and Alternative Communication (AAC) community this role involves the procurement of speech generating devices writing aids mountings parts and supplies to support leasing sales and operations for the Centralized Equipment Pool (CEP). CEP is located at 57 Colville Road Toronto ON and supports 27 AAC clinics across Ontario providing communication equipment to clients. Key Responsibilities: - Prepare and process purchase orders and ensure timely delivery of products.
- Develop Request for Proposals as directed by leadership.
- Source evaluate and negotiate with suppliers to secure the best prices quality and delivery terms for goods and services.
- Source new products and vendors.
- Review and monitor lease and sales inventory ensuring stock levels are optimized and preventing overstocking or stockouts.
- Analyze equipment trends and needs of the program.
- Carefully manage client personal health information.
- Maintain accurate records in CEPs system database (4D).
- Maintain accurate and complete sales records for Assistive Devices Program (ADP) reimbursement.
- Review the Assistive Devices Program (ADP) bi-weekly holding report identifying approvals non-approvals and payments
- Assist with audits and reporting requirements related to purchasing functions.
- Provide timely sales quotes and process sales orders.
- Track and manage orders to ensure timely delivery and resolve any issues.
- Develop and maintain vendor relationships to ensure reliable and cost-effective procurement.
- Negotiate pricing and manage contracts with vendors.
- Assess vendor performance and provide feedback for continuous improvement.
- Identify opportunities for cost savings and process improvements.
- Monitor market trends pricing fluctuations and industry developments to make informed purchasing decisions.
Minimum Knowledge Skills Abilities: Experience and Educational Requirements - A relevant college diploma or university degree (i.e. Supply Chain Management Business logistics) or equivalent experience
- 1 to 3 years purchasing experience ideally in an electronics / high tech equipment
- Purchase Management Association of Canada (PMAC) enrollment or equivalent an asset
- Experience and understanding of Augmentative and Alternative Communication (AAC) equipment is an asset
- Working knowledge of databases such as the 4D information system is an asset.
- Excellent communication skills (verbal and written) to promote effective collaboration
- Well-developed interpersonal skills and ability to work both independently and as part of a team
- Well organized with good time management skills to meet deadlines
- Excellent negotiator with ability to perform extensive research on products
- Fully proficient with Microsoft Office (e.g. Outlook Word Excel Power Point)
- Flexible and able to balance multiple priorities with a strong attention to detail
