Title: Per Diem (as needed) Department Assistant - Sleep Lab - Norwalk CT
Summary:
Provides administrative support to the Sleep Disorder Center and assists the Medical Directors of the Center as well as the attending physicians and Sleep Fellows. Manages the patient registration appointment systems medical records billing and patient tracking systems. Collects analyzes and presents statistical & financial data. Responsible for the completion of Special Projects for the Sleep Center as assigned by the Medical Director. Performs secretarial duties correspondence dictation transcription conference calls scheduling & travel arrangements. Uses professional interpersonal skills when dealing with the patients families physicians and hospital medical staff on a daily basis. Excellent computer and communication skills.
Responsibilities:
1. Administrative Support Function Criteria A: Provides office support including but not limited to: typing preparing spreadsheets phone coverage filing copying coordination of supply orders mailing mail distribution. Maintains master file of employee medical department-related forms & templates. Administrative Support Function Criteria B: Provides administrative support to the Sleep Center Director Attending Physicians Sleep Fellows and APRNs including monitoring schedules and patient throughput for clinical professional staff and assistance with setting up rooms for conferences. Maintains sleep center calendar. Administrative Support Function Criteria C: Manages on-line scheduling of patients via Enterprise software application. Resolves scheduling conflicts based upon schedule protocol and by consulting the clinical staff. Initiates continuum of care by assuring timely scheduling for patient follow-up visits. Follows up on all cancellations and no-shows to assure patient availability and compliance. Administrative Support Function Criteria D: Processes departmental invoices. Prepares and transmits all intake evaluations and final reports for referring and primary physicians patients and patients family.
2. Coordination of Patient Clinic Criteria A: Obtains prior approvals and precertifications for all clinic visits. Greets patients completes demographic information verifies insurance eligibility ensures that all patients are acknowledged registered with the Sleep Center. Coordination of Patient Clinic Criteria B: Educates patients and family with regard to testing requirements and procedures. Familiarizes patients and family with the testing environment. Issues patient clinical questionnaires; arranges for appropriate type of testing with Physicians office. Coordination of Patient Clinic Criteria C: Ensures continuum-of-care for patients. Triages patients to the appropriate clinician. Schedules appointments for follow-up visits referrals as needed. Coordination of Patient Clinic Criteria D: Assures that patients leave with any necessary paperwork forms records prescriptions etc. and that the clinical staff have completed all record entries prior to the patient leaving.
3. Coordination of Laboratory Protocols--Diagnostic and Therapeutic Criteria A: Conducts inquiries with insurance providers managed care organizations and physician offices to arrange Polysomnography protocols. Coordination of Laboratory Protocols--Diagnostic and Therapeutic Criteria B: Consults service protocol book for specific service requirements. Displays a thorough knowledge of each protocol; familiarizes patients with protocols prior to testing. Coordination of Laboratory Protocols--Diagnostic and Therapeutic Criteria C: Prepares charts for new patients; retrieves and organizes existing patient records. Coordination of Laboratory Protocols--Diagnostic and Therapeutic Criteria D: Inputs patient registration data into Eclipsis and coordinates accounts with Patient Registration & Billing for clinicians.
4. Medical Records Systems Management Criteria A: Organizes and manages medical records including retrieval interim permanent storage. Medical Records Systems Management Criteria B: Transmits insurance carrier approval requests regarding specialist referrals and approvals for certain diagnostic studies. Assures that all insurance prior authorizations are complete for Sleep Center procedures. Medical Records Systems Management Criteria C: Manages billing and record reconciliation for all services performed in the Sleep Disorders Center in order to maximize income for the Center. Responsible for computer entry coordinating billing accounts numbers with Patient Registration and assisting the ICD-9 coder in the Medical Records office. Medical Records Systems Management Criteria D: Prepares and maintains medical record release forms signed patient consents medication reconciliation records for all Sleep Center patients. Ensures all such records are current and accurate. Calls in scripts for ordered for patients.
5. Database Management Criteria A: Manages Enterprise database for physician referrals employee visits etc. to monitor patient progress from intake through diagnosis treatment & follow-up. Generates reports to Medical Director staff to chart and analyze growth of the Center. Database Management Criteria B: Maintains insurance database retains and updates all information.
6. Departmental Special Projects Criteria A: Assists in a wide variety of project work including: acquisition of data database development/formatting presentations-charts-graphs. Departmental Special Projects Criteria B: Collects analyzes and presents ongoing statistical data pertaining to patient census. Collaborates with Sleep Center Supervisor to optimize staff utilization supporting the Centers business function. Departmental Special Projects Criteria C: Collaborates with senior management to support strategic initiatives for growth; includes maximizing patient satisfaction. Departmental Special Projects Criteria D: Spearheaded the development of revised charting format and archiving system for Sleep Center files.
7. Additional Administrative Functions for New & Emergent Sleep Center Sub-specialties Criteria A: Coordinates Insomnia Program supporting the Medical Director of the Insomnia Center. Additional Administrative Functions for New & Emergent Sleep Center Sub-specialties Criteria B: Coordinates the Pediatric Program supporting the Pediatric Sleep Director.
8. Performs other duties as assigned.
9. Fulfills all compliance responsibilities related to the position.
