Position Summary
Reporting to the Manager WIL Services the WIL Lead plays a key role in supporting Work Integrated Learning (WIL) across Bow Valley College. This position supports programs with mandatory WIL requirements by providing operational leadership industry partnership development placement coordination compliance oversight and continuous improvement of WIL services.
The WIL Lead works closely with internal stakeholders students faculty and industry partners to ensure high-quality compliant and meaningful WIL experiences. The role requires strong relationship-building skills operational expertise and the ability to manage multiple priorities in a fast-paced student-centered environment. This recruitment will fill two WIL Lead roles each aligned to a distinct portfolio: Health programs and Community Studies Business and Technology.
Position Responsibilities & Accountabilities
WIL Service Maintenance Development & Team Support
- Provides day-to-day guidance and operational support to the WIL Services team.
- Assigns monitors and coordinates work to ensure efficiency consistency and alignment with departmental goals.
- Provides clear instruction on WIL processes guidelines policies and software platforms.
- Supports team optimization continuous improvement and initiative development.
- Acts as the WIL software super user maximizing platform functionality and liaising with external vendors.
- Resolves escalated or complex issues using sound judgment and professionalism.
Compliance Evaluation & Reporting
- Interprets and communicates federal and provincial regulations as well as professional guidelines related to WIL.
- Ensures WIL activities meet institutional regulatory and funding requirements.
- Conducts compliance audits and completes Comprehensive Program Reviews for WIL.
- Prepares and submits reports for internal stakeholders funders and external partners.
- Evaluates WIL outcomes to ensure alignment with institutional and departmental objectives.
Industry Partnerships & Securing WIL Opportunities
- Cultivates secures and sustains WIL opportunities across multiple programs.
- Builds and maintains strong industry partnerships to support ongoing WIL participation.
- Executes outreach and marketing strategies to promote WIL opportunities.
- Collaborates with faculty to align WIL opportunities with curriculum and workforce needs.
- Vets organizations and placements to ensure alignment with acceptance criteria and institutional standards.
- Coordinates employer engagement activities presentations showcases and recognition initiatives.
- Identifies funding opportunities for paid WIL placements and supports funding applications.
Labor Market Analysis & Strategic Support
- Maintains awareness of labor market trends and emerging workforce needs.
- Supports business case development for new programs program growth and WIL initiatives.
- Participates in professional associations advisory committees and knowledge-sharing forums.
WIL Placement Coordination & Matching
- Coordinates end-to-end WIL placement processes using centralized systems.
- Creates WIL courses job postings and manages student and employer workflows.
- Coordinates student ranking matching interviews and final placement decisions.
- Manages host agreements and ensures all required documentation is in place.
- Oversees accommodation requests and supports issue resolution for students and hosts.
- Manages shared WIL phone and email inboxes escalating issues as required.
Student WIL Preparation & Engagement
- Supports student onboarding and use of WIL software platforms.
- Delivers WIL readiness activities including resume coaching mock interviews and placement preparation.
- Provides program-specific WIL guidance to students.
- Participates in WIL events such as employer presentations mock interviews and roundtables.
Data Reporting & Governance
- Maintains accurate records of student employer and placement data.
- Manages host agreement databases and tracks expiries.
- Ensures compliance for out-of-province placements work permits and other regulatory requirements.
- Analyzes WIL data to identify trends risks and opportunities for improvement.
- Compiles feedback key learnings and recommendations to enhance WIL services and stakeholder experience.
- Performs other related duties as assigned.
Minimum Qualifications
- Bachelors degree in a related field.
- Minimum of three (3) years of related experience.
- Relevant experience in business development student placement human resources career development or a related field.
- An equivalent combination of education and experience may be considered.
Preferred Qualifications
- Experience building employer partnerships and securing WIL placements in a post-secondary environment.
- Career development experience or certification.
- Experience with electronic career or WIL management systems (e.g. Orbis HSPnet).
- Knowledge of labor market trends and employer engagement best practices.
- Strong organizational skills with the ability to manage multiple competing priorities.
- Proven ability to work independently and collaboratively in team environments.
- Excellent communication presentation and facilitation skills.
- Proficiency in Microsoft Office (Excel PowerPoint) and familiarity with LinkedIn and social media platforms.
