POSITION FUNCTION:
The Program Financial Assistant provides accounting billing and clerical support to the WorkBC Center.
KEY DUTIES AND RESPONSIBILITIES:
- Assist with preparation and maintenance of budgets specific to proposals/ongoing contracts
- Receive code and ensure the timely processing of all invoices
- Track and reconcile billables departmental petty cash claims transportation claims and cheque requisitions
- Purchase issue and maintain inventory of financial supports
- Review financial support forms for accuracy and completeness and ensure adherence to policies for eligibility and ceiling maximum
- Support staff in maintaining up to date client billable information
- Respond to Ministry audits investigate and revise discrepancies as required by role
- Communicate with external vendors for account and EFT authorization information
- Assist team to follow up with clients and service providers for supporting documentation required for milestone fees and performance fees
- Prepare and update client payment spreadsheets to keep track of payments reimbursements and balances
- Maintain employee attendance/payroll systems including collection and entry of monthly timesheets (vacation entitlement overtime etc.)
QUALIFICATIONS:
Knowledge:
Standard office equipment bookkeeping EmploymentStandards and payroll procedures
Education:
- High School completion and some college vocational ortechnical training and/or comparable experience
- Certificate (or appropriate combination of courses) in Office Administration Clerical Support or Accounting is a requirement
Skills:
- MS Office suite database software accounting software
- Interpersonal skills
- Administrative skills
- Attention to detail
- Facility and accuracy with numbers
- English communication skills other languages an asset
- Cultural sensitivity
- Keyboarding speed of 30-45 wpm an asset
