Overview
The Scheduling Coordinator VI will use training and development skills to help plan conduct and administer programs that train scheduling staff and improve their skills and knowledge. This position will ensure timely accurate and complete scheduling services. Responsibilities include: basic Care Center functions; providing support to Care Center staff; answering questions related to Epic registration intake and scheduling; solving problems; entering and analyzing data; mentoring colleagues; and working collaboratively with clinical services staff.
Responsibilities
- Schedule appointments for all outpatient medical programs in an efficient accurate and productive manner.
- Provides support to end users. Responsibilities include operating as a main source of support for end-users answering questions helping end-users navigate the system and reporting issues to the project team to support prompt resolution.
- Participates in continued end-user support and training. Long-term support also includes participating in regularly scheduled Super-User meetings upgrade testing optimization and other activities with the responsibility of communicating lessons learned back to their department.
- Takes a lead role in training new Scheduling Coordinators.
- Tracks and monitors ongoing Plans of Care to assist with maintaining accuracy of the schedule tracking open times on the schedule and maintaining the patient waiting list.
- Plans and reassigns appropriate patient coverage for planned and unexpected leave requests by clinicians and communicates any coverage concerns immediately to supervisor.
- Tracks all new and follow-up patients using the scheduling system and works with providers and Care Centers to ensure proper scheduling related to the patients needs.
- Builds and modifies Epic provider templates.
- Oversees the maintenance of and updates within the EPIC scheduling system.
- Attends and actively participates in weekly meetings with providers to discuss patients and scheduling.
Qualifications
- High School diploma or equivalent required.
- Associate or higher degree in human services healthcare administration or related field preferred.
- 5-7 years experience with patient registration and/or scheduling required.
