Responsibilities

  • Client Relations: Serve as the primary Director of First Impressions greeting customers with an upbeat professional demeanor and managing a high-volume multi-line phone system.
  • Data & Record Management: Update and maintain complex Excel spreadsheets with high accuracy; perform heavy data entry to ensure client records are current.
  • Research & Support: Conduct background research to assist financial advisors in preparing for client meetings and market analysis.
  • Digital Marketing Support: Assist with basic marketing tasks which may include updating social media profiles preparing mailers or coordinating client appreciation events.
  • Administrative Flow: Manage incoming/outgoing mail maintain the lobby aesthetic and ensure the office remains organized and efficient.

Skills & Qualifications

  • Technical Proficiency: Strong typing speed and accuracy are essential. You should be highly comfortable navigating Microsoft Excel (data entry basic formulas and formatting).
  • Communication Ace: Previous experience managing multi-line phone systems and the ability to route calls efficiently while maintaining a friendly tone.
  • The X-Factor: A naturally upbeat can-do personality. You should be someone who genuinely enjoys helping people and stays calm under pressure.
  • Detail-Oriented: A sharp eye for detail especially when researching and inputting financial data.
