ROLE SUMMARY

ABOUT THE COMPANY

Meg Bradyhouse is a coach speaker and creative entrepreneur who helps people gain clarity build momentum and take aligned action in both life and business. She offers identity and mindset coaching a group mastermind program live events free resources and a podcast all designed to support entrepreneurs and individuals in moving past overwhelm and toward meaningful personal and professional growth. Meg also runs Bradyhouse Studios a successful photography business specializing in weddings elopements and branding content. While her photography brand is managed by a separate team this role will support the coaching and growth side of the business which is currently expanding.

ABOUT THE ROLE

This Virtual Assistant will play a key role in helping the business run smoothly behind the scenes while also driving front-end growth. The role combines traditional VA support such as calendar/email management travel coordination and personal support with operational tasks such as sales lead qualification through chat business development coaching program support and content creation. The right person for this role is proactive tech-savvy and excited to work closely with a founder to move projects forward and help the business grow.

ROLE RESPONSIBILITIES


1. Lead Qualification and Sales Support

Help convert interest into clients through timely communication and lead management.

  • Manage inbound Instagram DMs using a structured qualification process

  • Engage with new followers and identify potential coaching clients

  • Follow conversation frameworks to determine lead fit and interest

  • Score leads using Revio and hand off qualified prospects for closing

  • Present offers and handle easy objections when appropriate

  • Keep track of lead status and ensure no one falls through the cracks


2. Coaching Program Operations

Keep the coaching experience organized up to date and running smoothly.

  • Upload and organize call recordings and resources in Mighty Networks

  • Track client enrollment periods and send reminders for renewals

  • Coordinate outreach for testimonials and feedback

  • Monitor community engagement and notify Meg of key updates


3. Calendar and Admin Support

Own calendar oversight and provide day-to-day support that keeps things moving.

  • Manage Megs calendar and reschedule meetings as needed

  • Coordinate with team members to prevent conflicts or overlaps

  • Ensure time is protected for priority work and personal obligations

  • Support scheduling needs related to live events and coaching calls


4. Content and Resource Support

Assist with light content tasks and internal resources.

  • Create lead magnets branded PDFs or social media graphics in Canva

  • Match existing brand aesthetics and ensure visual consistency

  • Assist with research outlines or templates for internal use

  • Maintain and update digital systems as needed


5. Team Collaboration and Execution

Work closely with Meg and the rest of the team to keep projects on track.

  • Communicate updates via Slack and follow task management systems

  • Take initiative to surface blockers or make recommendations

  • Attend team or client calls for note-taking or follow-up when requested


Although the responsibilities outlined above will form the core focus of your role please note that your hiring manager may assign additional relevant tasks as needed to align with the evolving objectives of your position and the overall goals of our business.


ROLE QUALIFICATIONS

REQUIRED QUALIFICATIONS

  • 5 years of overall work experience

  • 2 years of experience in a Virtual Assistant Community Manager Marketing or Staff Role (e.g. Team Lead OM Trainer Coach QA Lead)

  • Experience managing business DMs and qualifying leads via chat

  • Proficient experience using Canva and ability to match existing brand aesthetics with accuracy

  • Strong organizational and time management skills

  • High level of comfort with digital tools CRMs Artificial Intelligence and remote environments

  • Comfortable leading meetings with clients and stakeholders

  • Ability to work independently and take initiative to solve problems

  • Must have own webcam microphone and computer (relevant software and subscriptions provided)

  • Excellent English verbal and written language proficiency (C1C2 on CEFR Scale)

  • Access to a quiet work area at home with reliable internet (100 Mbps or more)


PREFERRED (NICE-TO-HAVE) QUALIFICATIONS

  • Experience working in or around coaching or consulting businesses

  • Familiarity with tools like Revio Manus AI Mighty Networks HoneyBooks Slack or Zapier

  • Interest in business development marketing or entrepreneurship


ROLE SPECIFICATIONS

  • Base Salary: Q12000 base salary.

  • Role type: Full-time.

  • Location: Guatemala (Remote - Work from home).

  • Schedule: Monday to Friday: 9:00 AM - 6:00 PM.


RECRUITING PROCESS

  • Application / Screening: When you apply for this position we will ask you a short questionnaire to get to know you a little bit better and ask you for some additional inputs to see if you qualify for the addition we will ask you to complete a short psychometric evaluation and a short English proficiency assessment. The idea is to explore if this is a good fit before moving forward.

  • Skills Assessment: You will be asked to complete a few exercises and/or projects designed to recreate the work tasks that you will be responsible for if you are given the role. This helps us gauge your skill level as well as give you a better idea of the required work.

  • Skills Assessment Interview: This is a 60 min - 90 min conversation where we further test your skills learn about your previous working experiences and evaluate culture fit to the role and company.

  • Hiring Manager Final Interview: This is a 30 min - 60 min conversation with the positions Hiring Manager (and potentially a few company team members) to get to know you better and to set the expectations and vision for the role.

The entire process usually takes anywhere between 2-6 weeks to complete depending on the seniority of the position.
