Position Summary:
The Assistant Sales Manager Weddings & Events is responsible for driving group wedding and event business through proactive and reactive sales efforts.
This role serves as the primary liaison between clients and hotel operations ensuring seamless event planning accurate documentation and revenue optimization while supporting overall sales strategies.
Key Responsibilities:
Proactive Sales
- Identify qualify and pursue new business opportunities from assigned accounts RFPs emails and inquiries.
- Conduct site inspections of hotels restaurants and event venues for prospective clients.
- Advise clients on suitable venues packages and services based on their event requirements.
- Actively participate in proactive sales activities to maximize wedding and event revenue.
Reactive Sales
- Work collaboratively with all sales channels to ensure coordinated complementary and non-duplicative sales efforts.
- Manage inquiries and RFPs from multiple channels including but not limited to: Cvent Direct RFPs Overseas Wedding Platforms.
- Input and track all leads and opportunities accurately in Opera and Excel working sheets.
- Prepare and issue accurate proposals quotations and contracts in a timely manner.
- Support the Director of Sales and Development by preparing weekly reports on leads and new business opportunities for the Director of Sales and Development..
Event Sales & Coordination
- Plan and execute internal and external events including weddings group events and social functions.
- Act as the main point of contact coordinating between clients organizers group leaders and hotel operational teams.
- Coordinate booking requests with operations departments based on approved event plans.
- Prepare and distribute accurate Group Resumes Banquet Event Orders (BEOs) and invoices.
- Manage deposit collection and follow up on payments according to contract agreements.
- Maintain accurate and up-to-date group and event information in Opera and Excel tracking systems.
- Support on-site inspections client visits and events to identify additional revenue and business opportunities.
- Prepare and submit monthly event and group revenue reports to the Director of Sales and Development.
Administrative & Reporting
- Ensure accuracy and completeness of all sales documentation and systems data.
- Provide timely and accurate sales performance and revenue reports as required.
- Maintain strong communication with internal stakeholders to ensure service excellence and client satisfaction.
