Reporting to the Research Human Resources Lead Providence Research the HR Analyst provides day-to-day administrative support for People operation activities related to Providence Research employees working under the Providence Health Care (PHC) payroll Payroll Guardian (PGi) UBC SFU and other assigned areas. Working under the direction of the Research Human Resources (HR) Coordinator(s) this role assists with a variety of people operations functions within Providence Research including:

  • recruitment
  • onboarding
  • timekeeping
  • HR system transactions
  • employee data management

The HR Analyst also:

  • ensures all hiring onboarding and offboarding processes comply with UBC/PR/PHC HR policies procedures and collective agreements
  • responds to routine and non-routine human resources inquiries from research personnel in accordance with established policies and procedures
  • processes transactional requests including scheduling interviews job postings new hires job codes/job descriptions and personnel file reviews/updates
  • sets up and/or maintains various departmental records filing systems and databases and prepares generates and distributes a variety of standard custom and ad hoc reports related to research personnel within Providence Research
  • drafts and prepares human resources related documents such as offer/renewal letters and funding agreements supporting onboarding processes access requests Payroll Guardian (PGi) payroll support and maintaining accurate employee records and databases.

What You Bring

Education Training and Experience

Completion of a post-secondary education equivalent to a two (2) year diploma in Human Resources Business Administration or a related field plus three (3) to five (5) years of recent related experience in a professional office setting familiar with HR best practices or an HR support role plus co-op or internship experience or an equivalent combination of education training and experience.

Skills & Abilities

  • Demonstrated knowledge of HR processes such as onboarding recruitment and timekeeping as well as relevant government legislation and human resources practices and procedures.
  • Demonstrated ability to organize and prioritize workload handle multiple assignments effectively and meet deadlines.
  • Demonstrated attention to detail and accuracy in data entry and documentation.
  • Demonstrated ability to communicate effectively both verbally and in writing.
  • Demonstrated ability to work independently and collaboratively in a hybrid environment.
  • Ability to handle confidential information with discretion
  • Ability to work independently and as a team member.
  • Ability to multi-task and work in an extremely fast-paced dynamic environment with multiple deadlines.
  • Demonstrated proficiency in Microsoft Office Suite (Word Excel Outlook) and knowledge in the use of HRIS and HR Systems and processes related to benefits payroll and time accounting.
  • Physical ability to perform the duties of the position.

Your Day To Day:

  • Assists in drafting human resources documents for PHC UBC SFU and PGi research personnel including appointment renewals offer letters and funding agreements. Supports hiring managers with recruitment activities including generating PCNs and scheduling interviews.
  • Supports onboarding of new research staff including coordination of computer setup access credentials ID badges and payroll folder creation. Submits and monitors network email requests and system access for new and existing employees.
  • Manages new hire documentation and profile creation in PGi payroll system and HRMS database for research personnel. Enters and updates employee data in HRMS and PGi including new hires changes and terminations. Tracks completion of mandatory training health and safety orientation and maintain workforce records accessible for audit and reporting.
  • Responsible for managing payroll functions for PGi employees within the research division including creating and maintaining employee profiles preparing and submitting bi-weekly payroll folders processing timekeeping adjustments and generating Records of Employment (ROEs). Works closely with the PR Finance team to resolve any payroll inquiries or issues promptly and ensure accuracy and compliance in all payroll-related activities.
  • Prepares and distributes internal Providence Research People Team communications and ensures accuracy of Providence Research human resources documentation. Maintains and updates onboarding templates and ensures accurate onboarding communications. Maintains guides training manuals and how-to documentation for Research HR related processes as well as various reference materials and departmental and employee databases. Coordinates access to PHC PR and UBC systems. Sets up filing systems and maintains and files all related documentation.
  • Provides overall general administrative services in support of all areas within Providence Research People Team including monitoring general research HR mailboxes receiving screening recording and coordinating routine and non-routine inquiries and correspondence prioritizing items responding to requests and concerns and referring to appropriate personnel for handling.
  • Performs timekeeping entries for PHC and Payroll Guardian (PGi) staff including tracking and overseeing sick leave vacation and overtime records. Follows up on scheduling or payroll issues with PHC Staff Scheduling and PR Finance as needed.
  • Processes and tracks requests for postings and new hires through use of an applicant tracking system. Receives and verifies accuracy of posting requests and creates internal postings for non-contract positions and processes new hire documentation.
  • Prepares generates and distributes a variety of standard custom and ad hoc reports. Prepares confidential statistical data as requested including cross-referencing data from various HR systems and other sources to identify and provide required information.
  • Submits BioTalent claim forms and pay stubs; assists with new applications and account setup. Coordinates documentation and access for external funding programs.
  • Monitors and troubleshoots issues related to processes and systems within Providence Research People Team. Pulls files researches background information follows up with leaders to exchange information and provides administrative support for various processes.
  • Provides technical support and assists internal and external users of HR systems. Recommends system improvements to supervisor and tests changes prior to implementation.
