In this role you will be the voice and face of our company ensuring that clients colleagues vendors and visitors feel welcomed and well taken care of. You will thrive in a fast-paced environment juggling multiple responsibilities with efficiency and a positive attitude.
Key Responsibilities:
- Liaise with vendors support services and internal departments regarding office management and office setup.
- Manage office supplies equipment and facilities services to ensure smooth operations.
- Receive and route all incoming calls greet visitors handle inquiries and manage couriers.
- Organize business trips meetings and company events efficiently.
- Log sort and coordinate mail and shipments.
- Provide secretarial support including preparing reports and drafting minutes of meetings.
- Assist with photocopying transcribing and faxing as required.
- Support administrative tasks related to mobile devices and attendance logs.
Qualifications :
- College or university degree or an equivalent combination of education training and experience that demonstrates the required knowledge skills and abilities.
- Previous administrative experience preferably in an international company is a plus.
- Full working proficiency in German and English.
- Strong communication organizational and interpersonal skills.
- Excellent problem-solving abilities with the capacity to multi-task take initiative and act proactively.
- Discreet trustworthy and able to handle confidential information with care.
- Proficiency in MS Office (Word Excel PowerPoint).
