Job Summary

Your Role

We are seeking a highly experienced Executive Assistant to provide proactive confidential and high-level executive support to our Chief People Officer (CPO). This role is ideal for an EA who thrives in a fast-paced environment can manage complex priorities with ease and is committed to service excellence.

Key Responsibilities

  • Complex diary and email management; prioritise commitments and anticipate needs for the CPO.

  • Prepare correspondence respond on behalf of the CPO and liaise with internal and external stakeholders with professionalism and discretion.

  • Arrange meetings workshops and events; prepare and distribute agendas briefing packs minutes and action logs; proactively follow up actions to completion.

  • Coordinate papers to a high standard and within deadlines.

  • Prepare high-quality PowerPoint materials and briefings for visits conferences and internal forums.

  • Undertake research collate information and prepare reports to support decision-making.

  • Coordinate orientation plans and materials for new team members.

  • Arrange complex travel itineraries; manage invoices expense claims and credit card reconciliations.

  • Uphold strict confidentiality and work in accordance with SJGHC policies including Equal Opportunity Privacy and Confidentiality.

  • Maintain a flexible solutions-focused approach in response to changing priorities and workloads.

You will have extensive experience supporting a senior executive with strong interpersonal and written communication skills and a proven ability to manage complex diaries meetings and minute-taking. Highly organised and self-directed you can prioritise effectively meet tight deadlines and exercise sound judgement with minimal supervision. The role requires advanced Microsoft Office capability strong research and reporting skills and a high level of discretion.
