Job description
We are looking for a friendly structured and proactive Office & administration Coordinator who enjoys supporting others and creating a positive office environment. This role can be filled by one full-time employee or shared between two part-time colleagues and students are very welcome to apply. What matters most to us is motivation reliability and a willingness to learn.
This is an on-site role as your daily presence is key to keeping our office running smoothly.
Key responsibilities
As our Office Coordinator you will be the heart of our office operations and an important support to colleagues across the organization.
Ensure smooth day-to-day office operations including mail handling documentation filing systems and office supplies
Welcome visitors and external partners creating a professional and friendly first impression
Handle incoming calls emails and general inquiries
Support internal communication
Coordinate with service providers (cleaning facility insurance etc.) and manage maintenance needs
Oversee office equipment stock levels and general workspace organization
Assist in organizing local office events celebrations and social gatherings
Support administrative tasks related to employee benefits
Coordinate shipments courier deliveries and office mail flows
Handle procurement of office supplies equipment and snacks/beverages
Process invoices and order confirmations accurately and on time

The position is full-time and located to the office in Vienna. According to our collective agreement the minimum salary is 2169 gross per month based on full-time employment. The final compensation is based on your qualifications and experience and will be discussed accordingly.
