Job Summary

Are you the glue that holds a busy office together Become the heart of AIG in Oslo.

We are looking for a proactive and service-minded Office Manager & Coordinator to ensure our Oslo office runs smoothly every single day. You will be the face of AIG for our visitors the go-to person for your colleagues and the key coordinator behind our professional events. Based at our central office at Aker Brygge you will have a role where no two days are alike and where your ability to step in and find solutions is highly valued.

Your impact and responsibilities

Your primary goal is to create a professional and welcoming atmosphere at the office. You are the one who makes sure things just work. Your key responsibilities include:

  • Office Management: ensuring the office is presentable fully stocked and functioning from coordinating cleaning and maintenance services to purchasing and managing vendor contracts in SAP.

  • Management Support: Assisting our Country Manager with ad-hoc practical tasks meeting preparations and calendar coordination when needed.

  • Hospitality & Event Coordination: Being the smiling face of AIG Oslo from greeting guests and managing lunch and coffee arrangements to taking the lead on the practical execution of our 3-4 annual major client events as well as internal social activities (Friday bars seasonal gatherings). You make sure the logistics play 100%.

  • Health & Safety Coordinator: Being first point of contact for all topics around health safety & environment to comply with Oslos requirements and AIGs standards.

  • Nordic Collaboration: Support the Nordic Business Services Lead with handling specific administrative tasks that cut across the Nordic countries and communicating with colleagues in Denmark Finland Sweden and the wider EMEA team.

What youll need to succeed

We hire for attitude and train for skill. The most important thing is that you have a service gene and take pride in supporting others. We believe you are a match if you:

  • Have experience from a service role (e.g. Office Manager Receptionist Coordinator or Service Industry).

  • Are fluent in Norwegian (written and spoken) and comfortable working in English (our corporate language).

  • Are structured and tech-savvy enough to navigate Outlook Teams and internal ordering systems with ease.

  • Have a Can-Do attitude: You have an eye for detail spotting what needs to be fixed stocked or prepared before anyone else and you handle sudden changes with a smile.

  • Enjoy being the Go-To person who connects the dots between employees vendors and management.

You will report to the Nordic Business Services Lead based in Sweden but will have a dotted reporting line to our Country Manager in daily life you are the heartbeat of the Oslo team a group of dedicated professionals who appreciate a good laugh and a well-organized office.
