Job Description
The Senior Administrative Assistant is responsible for all aspects of the administrative support for the Global Patient Safety addition the Senior Administrative Assistant provides very high level administrative support to the most senior member(s) of the function. The work is complex and non-routine in nature requiring independent decision making and interpretation of significant policies and processes and situations.
GENERAL RESPONSIBILITIES AND REQUIRED SKILLS
- Proven ability to establish own priorities
- Effectively manages multiple high urgency requests in a reliable and efficient manner; adapts to changing priorities and needs quickly and effectively
- Demonstrates advanced computer skills (including Microsoft Office Suite) in order to fulfill responsibilities
- Exercises sound independent judgment and critical thinking to regularly handle new and complex situations
- Possesses strong interpersonal skills highly motivated behavior and good documentation habits
- Displays ability to thoroughly understand and independently interpret departmental and company policies to solve non-routine complex issues
- Utilizes exemplary organizational skills to maintain order and stability throughout the organization
KEY RESPONSIBILITIES
- Independently prepares and processes departmental paperwork including non-routine correspondence complex presentations and detailed reports requiring analysis of data
- Implements administrative procedures for department
- May initiate onboarding process for vendor contractors; works closely with Training Coordinators to assign and schedule training submit system access requests liaise with GIS to trouble shoot common onboarding issues
- Work with Space Planning and GPS SLT to identify workstations for team members for new hire or position changes (promotions transfers)
- Coordinates schedules and manages travel meetings seminars series speaking engagements and conferences for most senior members of department
- Handles details of a highly confidential and critical nature
- Ensures the accurate filing and tracking of all departmental documentation including memos correspondence presentations and reports
- Maintain and update department document repositories as requested
- Prepares reports and statistics based on information compiled from various sources on a regular basis
- Represents head of department and department staff to internal and external clients
- Regularly interacts with internal and external contacts to coordinate department/manager business needs
- May supervise and act as backup for other administrative staff
- Independently monitor shared inbox to ensure assignment and completion of all requests
- Work with Sr. Director of PV Ops and GMDA Contract support to create new contracts amendments and contract terminations for PV Service providers and MD Consultants
- May review and track budgets submit monthly Global Transparency Spend reports and assist with sub-certification reconciliation
- Facilitate monthly reviews of critical compliance documentation
- Performs other duties as assigned.
PREFERRED EDUCATION AND EXPERIENCE
- A. (or equivalent degree) and 6 years of relevant work experience
- SharePoint experience preferred
Contract Length: 12 month with the chance to extend
