Job Description
This role supports the Human Resources division by providing comprehensive administrative support to the Human Resources department ensuring smooth operations across all HR functions. This role is responsible for processing HR transactions accurately and timely assisting with leave management and serving as a resource for Workday-related inquiries. The HR Associate supports recruitment and onboarding activities maintains HR documentation and intranet content and coordinates departmental events and meetings. Additional duties include managing office supplies handling confidential information and performing general clerical tasks such as filing and record retention. This position requires strong organizational skills attention to detail and the ability to handle multiple priorities in a fast-paced environment.
Provide administrative support to HR staff in all areas of operations as needed.
Initiate transactions ensuring that all actions are timely complete and accurate and that all required processes procedures policy contractual and legal requirements are met; act as a resource in answering Workday related questions. Troubleshoot HR transactions as needed.
Handle short-term disability Family Medical Leave Workers Compensation and leave cases; track staff leaves including FML parental leave short- and long-term disability and Workers Compensation ensuring that the necessary paperwork is on file and submitting injury reports; assist with simple leave cases.
Support the recruitment process by scheduling interviews and performing other recruitment duties as assigned.
Support the onboarding process by sending welcome emails to new employees posting new employee photos to the Intranet and performing other onboarding duties as assigned.
Ensure HR related forms documents and flyers are kept up to date and posted to the Human Resources Intranet. Maintain and update HR bulletin boards and shadow boxes.
Create an HR forms and manuals inventory system as well as update and maintain a log of revised HR forms.
Maintain the parking garage process and ensure accurate and timely assignments.
Maintain and forward emails from the HR Departmentemail box to appropriate staff.
Coordinate and organize meetings training agency events and other activities directed by the HR staff and/or Director of Human Resources (i.e. Bring Your Kids to Work Day Health Fairs Lunch and Learns etc.). Coordinate the SECA fundraiser for the HR Department.
Perform routing filing scanning and archiving records and files to ensure record retention compliance.
Maintain update and distribute employee birthday and anniversary cards monthly and order and distribute 20-year clocks quarterly.
Monitor and restock office and kitchen supplies for the HR office and the Main Kitchen.
Maintain the shared HR office areas.
Assist with the preparation and mailing of HR-related letters and documents.
Serves as a back up to Receptionist for breaks lunch and scheduled leave.
Handle confidential information with discretion and professionalism.
Perform other administrative duties as required.
