Job Summary:
We are seeking a highly organized and detail-oriented Administrative Assistant to join our team on a full-time basis. The ideal candidate will provide administrative support to our team of real estate professionals and help ensure the smooth operation of our office.
Key Responsibilities:
- Answer and direct phone calls take messages and respond to inquiries in a professional and timely manner
- Greet and assist clients and visitors in a friendly and welcoming manner
- Maintain and organize office files records and documents
- Schedule appointments meetings and property showings for the team
- Assist with the preparation of contracts leases and other legal documents
- Coordinate and manage office supplies and equipment
- Handle incoming and outgoing mail and deliveries
- Perform general clerical duties such as photocopying scanning and data entry
- Assist with marketing and advertising efforts including creating and distributing flyers and brochures
- Update and maintain databases and client information
- Other administrative tasks as assigned by management
Qualifications:
- High school diploma or equivalent; some college coursework preferred
- 1-2 years of experience in an administrative role preferably in a real estate or property management setting
- Proficient in Microsoft Office and other computer applications
- Excellent communication and interpersonal skills
- Strong organizational and time-management abilities
- Ability to multitask and prioritize tasks in a fast-paced environment
- Detail-oriented with a high level of accuracy
- Knowledge of real estate terminology and procedures is a plus
