Job Summary

40% - Degree Certification
Determines final graduation eligibility for all undergraduate students in the College of Liberal Arts and Sciences exercising independent judgment in certification of previous and current College and University rules and regulations. Conducts multiple reviews each semester for seniors in the College and notifies students departmental faculty leadership and academic advisors of issues that may impede progress toward timely degree completion. Facilitates updates and changes to candidate files each year. Coordinates commencement program information to ensure accurate inclusion of all candidates.

20% - Exception Review and Correction
Receives and reviews all errors identified in university tools used to track progression and degree completion and facilitates the correction or updating of errors in the systems through investigative research and collaboration with Student Lifecycle Technology. Receives and reviews high volume of department-level approved substitutions and processes approved exceptions in multiple university student support systems. Reviews and checks the academic records of students submitting petitions to determine progress towards college degree requirements making sure the decision made is most beneficial to the students academic progress and degree completion while complying with university requirements and regulations. Determines if appropriate departmental endorsement or recommendation is necessary and consults with Assistant Dean/College Governance to provide policy/procedure/curriculum feedback.

15% - Student Athlete Academic Compliance
Certifies student athletes compliance with NCAA academic regulations to determine eligibility to participate in NCAA sports. Completes large volume of athletes certifications with a required high level of addition provides individual certifications in response to urgent need. Verifies part-time enrollment requests for applicable student athletes on an as-needed basis.

10% - Student Staff and Faculty Support
Works closely with faculty advisors in all departments and programs in the College as well as academic advisors in Jayhawk Academic Advising on matters related to student progression and degree completion in the College of Liberal Arts and Sciences; as well as students with special circumstances requiring detailed expertise. Provides advising policy and procedure materials as well as training workshops for new faculty and staff both internally and campus-wide.

10% - Individual Duties and Other Duties as Assigned
Award Determination and Technology Support:
Analyzes student academic data to determine eligibility for Highest Distinction. Calculates student candidacy eligibility in the spring. Conducts a final calculation in the summer after grades are posted to determine awardees. Coordinates proper awarding indication in Enroll & Pay to ensure accurate inclusion of all awardees of Highest Distinction. Serves as a contact for academic advisors who may request additional information on behalf of students regarding the final determination of Highest Distinction. Additionally serves as the primary contact for technology setup and troubleshooting for meetings and trainings hosted by the office of College Undergraduate Academic Services. Ensures that all technology is fully operational for sessions while taking proactive measures to prevent and resolve issues to minimize disruption during meetings and presentations.

Commencement Program College Coordinator:
Coordinates all individual editing of the College of Liberal Arts and Sciences sections of KUs Commencement Program and serves as the Colleges point of contact with the university regarding all Commencement Program related initiatives.

5% - New Student Orientation
Serves as troubleshooting expert in New Student Orientation Headquarters to assist advisors across campus in resolving student enrollment issues during all advising sessions. Makes appropriate referrals.

Other Duties as Assigned
Other duties as assigned by Assistant Dean.

Required Qualifications
Evaluation of the following requirements will be made through (1) descriptions of work experience and educational experiences in letter of application (2) record of accomplishments and productivity addressed in resume and (3) information provided from professional references:
  1. Bachelors degreewith minimum of three years of experience working in a college or university setting; OR Masters with minimum of one year of experience with relevant student program development organization implementation and evaluation.
  2. Demonstrated strong communication and organizational skills as evidenced by letter of application and work history.
  3. One year of work experience that demonstrates ability to perform detailed work prioritize multiple tasks and meet deadlines.
This position requires a formal degree in the cited discipline area(s) to ensure that candidates have advanced knowledge analytical skills and professional competencies necessary to perform the duties of the position. The level of degree is commonly recognized as the standard qualification for similar roles in the public and private sector ensuring that the university remains competitive with industry aligned practices enhances collaboration with external partners and supports the delivery of services and programs that meet professional and market-driven expectations.

  1. Degree in the liberal arts and sciences.
  2. Student Records advising or similar experience.
  3. Knowledge of KU and the College of Liberal Arts & Sciences requirements policies and procedures.
  4. Demonstrated experience with student lifecycle technology and communication systems as evidenced by work history.


Position Overview
The Degree Analyst provides key knowledge and support for students College faculty and campus-wide partners in areas that include but are not limited to: academic support services academic systems information academic policy issues requirements for degree completion and degree certification; and provides complex guidance on these areas to academic advisors faculty and other campus colleagues. Certifies student athletes eligibility to participate in NCAA sports. Acts as a liaison for academic and student success issues collaborating with a wide variety of campus partners to assist students in reaching their academic goals. Presents information at campus trainings and other events. May work with special student populations. May coordinate projects with campus or community partners to execute new initiatives and/or develop best practices in providing student support services.
