Job Goals: The Data Specialists primary responsibilities are to manage the Amesbury Public Schools (APS) Student Information System (SIS) providing direct support on the SIS to end-users and district personnel from all APS schools and district departments. The Data Specialist is responsible for school database systems DESE reports coordination of workflow processes communication systems and information management and sharing. The successful candidate must be able to function autonomously and as part of a team as they plan their projects manage their time and organize and complete their tasks in a way that maximizes effectiveness and : Reports directly to the Director of Teaching Learning and Duties & Responsibilities: MA State and Federal reporting Coordinate processes and deadlines as needed to gather report and organize data reported to the Department of Elementary and Secondary Education on students Coordinate processes and deadlines as the need to gather report and organize data on Civil Rights Data Report (CRDR) reported to the Federal Government on students Create procedures and instruction guides regarding data collection and reporting for school district personnel SIMS (Student Information Management System) 3 times/year EPIMS (Education Personnel Information Management System) 2 times/year SCS (Student Course Schedule) 2 times/year SSDR (School Safety and Discipline report) annually CRDC (Civil Rights Data Collection) as needed Attend state DESE meetings related to data reporting and analysisStudent Information System Monitor automated data transfers from the SIS as necessary (particularly DESE) Prepare and conduct manual data transfers from the SIS as necessary/requested Maintain SIS Parent Portal including collaborating with the Central Registrar when sending information to new parents/guardians assisting parents with access to the portal and disabling portal accounts Entry support and maintenance of staff demographic onboarding contact licensure qualifications and district employment history. Entry support and maintenance of student enrollment demographics and contact information Responsible for data transfer between SIS and other software applications used throughout the district to support administrative and teaching and learning needs Ensure data backup and disaster recovery plan for SIS in coordination with Network and Systems administrators Apply patches and upgrades as suggested by the manufacturer of SIS Coordinate enter import export and clean data for various systems including network account information telephone system information HR photos IDs food services health and other systems as needed Import student testing data for use in analysis toolsSupport Training & Knowledge Provide/assist faculty and staff with training on various communication and data reporting and analysis tools as needed Assist with retrieving information and generating local reports from the SIS Compile data report supporting school and district data-driven inquiry Train personnel as necessary to enhance staff usage of SIS. Assist with the creation of workflow processes to manage and secure student data and electronic records Act as a liaison to SIS vendors regarding enhancements requests and customization issues of the SIS software Assist with maintaining databases for various APS website applicationsAdditional Responsibilities Prepares data in conjunction with the End of Year data rollover in preparation for the new school year Inputting staff information into Aspen including but not limited to date of hire resignation transfer name changeetc. Oversees and completes annual set up and maintenance of X2 calendars Complete the School Attending January 1st report Serve as the DESE Directory Administrator Coordinate Aspen projects to design implement modify or build as needed Maintain the archival database for longitudinal reporting Provides technical support for the district websiteRecommended Minimum QualificationsX2/Aspen experience preferredKnowledge of Google Applications (Pivot tables Vlookup PDF Suite)Experience working in public administration and responding to administrative and technology requests or any equivalent combination of education and experience The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job.
