Background:
We are looking for a well-organised and motivated Junior Legal Secretary to join our dynamic Debt Capital Markets practice. This is an excellent opportunity for someone early in their legal career to gain hands-on experience in a fast-paced and technical area of law. The successful candidate will provide administrative and secretarial support to a team of lawyers and play a key role in the teams billing processes.
About the role:
This role demands a high level of attention to detail particularly when working on financial documentation and billing cycles. Youll work closely with fee earners who advise on a wide variety of debt and structured finance transactions including securitisations CDO/CLO transactions and RMBS/CMBS transactions in a range of domestic and cross-border deals.
Key Responsibilities
Legal and Administrative Support
- Prepare format and amend legal documents and correspondence.
- Organise and maintain client files (both digital and hard copy).
- Support lawyers with diary management meeting coordination and travel arrangements.
- Handle incoming emails and correspondence with clients and stakeholders in a professional and confidential manner.
- Assist the team Executive Assistants with practice related tasks.
- Support the wider team with general administration tasks.
Billing and Finance Administration:
- Assist in preparing and processing monthly bills working closely with fee earners and the finance team.
- Generate review and amend proforma bills ensuring time entries and billing narratives are complete and accurate.
- Track client billing arrangements and ensure compliance with billing guidelines and engagement terms.
- Monitor outstanding invoices and follow up on aged debt where appropriate.
- Support the team with ad hoc reporting and time recording
Skills Knowledge and Expertise
- Prior experience in a legal or professional services environment preferred.
- Strong attention to detail particularly in the handling of complex documentation and financial data.
- Comfortable working under pressure and to tight deadlines during transaction peaks.
- Proficient in Microsoft Office especially Word and Excel; experience with billing/timekeeping software (e.g. Elite Aderant or similar) is advantageous.
- Excellent organisation communication and interpersonal skills.
Qualifications:
- Minimum of secretarial training/equivalent experience or legal admin qualifications desirable.
- Legal secretarial diploma or prior experience supporting a legal team preferred
Personal Attributes:
- Enthusiastic eager to learn and interested in the legal finance space.
- Able to work well as part of a team and independently when required.
- Professional and confident in dealing with clients and stakeholders.
- Numerate efficient and highly dependable.
