About the Role

We are seeking a highly experienced Virtual Assistant to provide proactive high-level administrative and operational support in a fast-paced environment. The ideal candidate is detail-oriented adaptable and confident managing multiple priorities with minimal supervision. Experience supporting executives or teams within the real estate sector is highly desirable.

This role requires someone who is comfortable leveraging AI and modern productivity tools to work efficiently anticipate needs and continuously improve workflows.

Key Responsibilities

  • Provide comprehensive administrative and operational support in a high-volume fast-moving environment

  • Manage calendars inboxes meetings and follow-ups with precision and discretion

  • Coordinate documents reports and presentations; ensure accuracy and timely delivery

  • Support real estaterelated activities such as listings transaction coordination CRM updates and client communications (where applicable)

  • Use AI tools and automation to streamline workflows improve efficiency and reduce manual effort

  • Track tasks deadlines and priorities across multiple projects

  • Communicate clearly and professionally with internal and external stakeholders

  • Identify process improvements and proactively implement solutions

Required Qualifications

  • Minimum 4 years experience working as a Virtual Assistant in a fast-paced environment

  • Proven ability to manage multiple priorities and meet tight deadlines

  • Strong written and verbal communication skills in English

  • High attention to detail and excellent organizational skills

  • Ability to work independently take initiative and exercise sound judgment

  • Reliable internet connection and a professional remote work setup

Preferred / Desirable Experience

  • Experience supporting executives or teams in the real estate sector

  • Proficiency with AI tools (e.g. ChatGPT or similar) for research drafting and workflow optimization

  • Strong command of productivity tools such as Google Workspace Microsoft 365 Notion ClickUp Asana Trello Slack or similar

  • Familiarity with CRMs and property management or real estate platforms
