Founded in 2019 The Clean Slate Initiative (CSI) is working across the country and in Congress to pass and implement laws that automate record sealing for people with eligible records who have completed their sentence and remained crime-free and to expand who is eligible for sealing.

To date thirteen states and Washington D.C. have passed Clean Slate laws impacting more than 18 million people. About the Opportunity

Reporting to the Senior Grants and Contracts Manager the Grants and Contracts Manager oversees the full lifecycle of grants contracts and vendor agreements at CSI. This role ensures compliant contract and grant management accurate system setup cross-functional coordination and timely payment tracking and reconciliation. The position also supports month-end and audit processes while improving efficiency through SOPs risk mitigation and system enhancements.

Responsibilities and Tasks

Contract Lifecycle Management

  • Manage the full contract lifecycle from initial drafting through execution and renewal
  • Partner with internal stakeholders to draft review and track contracts in alignment with organizational and compliance requirements
  • Monitor contract timelines deliverables reporting obligations and expiration dates using CLM tools and software
  • Coordinate with the CFO on legal review needs escalations and approvals

Grants & Contractor Management

  • Set up and maintain grantee and contractor records in financial systems
  • Serve as the primary point of contact for contractor onboarding compliance verification and finance-related inquiries
  • Manage payment schedules proactively resolve discrepancies and ensure timely disbursements
  • Support implementation maintenance and ongoing optimization of grant management systems

Financial Tracking & Reconciliation

  • Reconcile contract and grant payments monthly across Expensify and Sage Intacct
  • Ensure accurate transaction coding and alignment with approved budgets and funding sources
  • Maintain and update encumbrance records for active contracts and grants
  • Support month-end and year-end close activities reporting and audits as needed

Reporting & Compliance

  • Develop and maintain standard reports on contract status committed funds and expenditures
  • Ensure compliance with internal policies and funder-specific requirements
  • Assist with financial analysis budget forecasting and variance tracking related to contracts and grants
  • Monitor and submit required state lobbying registrations and related filings

Process Improvement & Documentation

  • Develop document and maintain SOPs for contracting grants and vendor management processes
  • Identify opportunities for increased efficiency and lead process improvement initiatives
  • Support staff training on systems workflows and compliance standards

Who you are:

  • Detail-oriented and systems-driven with experience supporting contracts grants and financial operations
  • Comfortable working autonomously take initiative with minimal direction and can easily ebb and flow between grant and contract work as priorities shift
  • Comfortable managing multiple workflows while maintaining accuracy and meeting deadlines
  • A clear communicator who collaborates effectively with internal teams and external partners
  • Proactive about documentation compliance and process improvement
  • Dependable adaptable and willing to step in as a trusted back-up when needed
  • Motivated by mission-driven work and operational excellence

Compensation and Location

Comprehensive benefits package that includes 100% employer-paid health dental and vision insurance a 6% employer match towards 401k retirement pre-tax transportation benefits and paid holidays vacation sick and casual time off.

The Clean Slate Initiative is committed to transparent and fair compensation. The hiring range for this position is an annual salary range of $85000-$90000 per year. The final salary within this range will be determined based on qualifications and relevant experience. Once an offer is made we do not negotiate the compensation package. This is a full-time position and is considered exempt for overtime purposes. This is a remote position and we are location agnostic regarding where in the US you are based. However we will discuss a hybrid or in-office work location for candidates in proximity to our Orlando office. You will need to:

  • Currently reside in the United States and be authorized to work in the United States
  • Work collaboratively with a team in various time zones
  • Be close to a major airport with the ability to travel approximately 10-15%
  • Attend required quarterly onsite planning meetings in various locations
  • Attend 1 all staff learning trip and our annual convening each year
