In this role youll supervise our Facilities team which is responsible for providing a welcoming presence for visitors and employees conducting business at our new 1501 Market Street building. As the first supervisor within a newly created section youll help shape its purpose provide essential departmental support and guide the team in establishing a responsive reliable experience. Your work will directly influence the development of this role the growth of the section and the creation of a warm professional environment for the public.

How to be Successful in the Role:

Your success will come from being a highly proficient administrative supervisor who is customer-focused inquisitive self-motivated learns quickly and enjoys taking on new challenges and can work independently. You will exercise a high degree of discretion and tact with confidential information and should be comfortable escalating situations when necessary. Your knowledge of general office procedures/practices technical and specialized functions will ensure your teams success. Throughout the onboarding process you will meet with senior leadership from within the Facilities Department and representatives from the customer departments that we serve. You will meet with your team regularly to discuss expectations set goals and identify priorities strategic measures and how to achieve them. Core Daily Responsibilities:


  • Supervise and coordinate activities of assigned subordinate employees. Determine work procedures prepare work schedules and determine methods for expediting workflow. Issue instructions and oversee work for accuracy neatness and conformance to procedures and policies.
  • Train staff in departmental procedures processes and operation and maintenance of office machines and equipment.
  • Investigate grievances involving subordinates and recommend resolution; recommend promotional and disciplinary actions; approve leave requests over time; schedule vacations to ensure adequate coverage for assigned work area.
  • Analyze operating procedures to devise the most efficient methods of accomplishing work. Analyze data gathered develop information and consider available solutions. Participate in the analyses recommendations and implementation of new systems policies and procedures.


  • Consult with management regarding administrative needs; attend management and staff meetings.

Qualifications

  • Four years of progressively responsible clerical experience
  • Including one year of supervisory responsibility.
  • Additional education may substitute for the required experience for a maximum of two years.

  • A valid drivers license may be required when travel is required of the position.
