Position: Finance Manager
Work Schedule: 8 hours a day
7:00am 3:00pm Monday Friday
52 weeks per year
Reports to: Director of Food Services
Salary: Based on experience
Summary: Maintain accurate and comprehensive financial records for Food Service
Department. Strong Excel experience necessary. Handle phone and visitor
communication with parents school officials and Food Service employees. Assist in
resolving problems.
Essential Duties and Responsibilities:
Payroll
1. Monitor and verify payroll for all employees
2. Reconcile absences in Aesop
3. Verify payroll reports from Administration Building
Accounts Receivable/Payable
1. Enter receipts into Financial program
2. Verify and process invoices from all vendors
3. Process vendor payments on weekly/monthly basis
Financial (overall)
1. Balance monthly statement
2. Prepare and submit monthly and annual reports for Administration Building
3. Track monthly expenditures
4. Compile data for Indirect Cost annually
5. Track and balance all payments and expenditures for student/adult accounts
6. Track a la carte and meal sales for all secondary schools
7. Submit monthly expenditures to Administration Building for School Board
State Reporting
1. Collect and verify meal and snack information for each school
2. Submit monthly state claim
3. Compile and submit data for Annual Financial Report
4. Maintain IDOE sponsor and site applications for school year and Summer
Feeding Programs
Office/computer duties
1. Maintain annual calendar on point of sale program
2. Perform annual roll-over for new school year
3. Create and maintain daily menu settings on point of sale program
4. Monthly reports on point of sale program
5. Track and maintain all records for Professional Development for State review
6. Practice exceptional customer service skills to respond to inquiries from parents
employees and the community to provide information direction or clarification
7. Assist cafeteria employees with point of sale program
8. Create and submit monthly reports of Free & Reduced counts and percentages
9. Answer and direct phone calls as needed
10. Other duties as assigned
Key Job Qualifications:
1. Associate degree in accounting business or related field preferred
2. Three or more years of bookkeeping accounting or related experience
3. Three or more years experience with Microsoft Office (Excel Word etc)
4. Excellent organizational and office skills
5. Ability to resolve problem situations as they arise
6. Must have effective and positive problem-solving skills
7. Must have strong customer service experience and excellent verbal and written
communication skills
8. Excellent work habits and attendance record with a commitment to meet
deadlines
9. Must be able to handle confidential matters and information in a professional
manner
10. Ability to be flexible and able to multitask
11. Must be able to read and interpret specific rules and policies and apply them with
good judgment
12. Perform basic math functions for accurate financial recordkeeping
13. Strong team player and effective communicator
