Position Overview
The Events Associate is responsible for modeling excellent customer service to all staff and customers by assisting with the staffing and management of the Librarys Special Event Spaces as well as logistical support for some Library programs or events. The Special Events Coordinator supports large Library special events assisting Library teammates in executing Library best practices as needed as well as establishing and maintaining close cooperative relationships with Library teammates and community partners.
Essential Functions
- Along with the Customer Events Coordinator serves as the library representative in Event Spaces during customer events.
- Represents the Library during customer and internal events assisting with further room set up serving as the event AV tech monitoring and providing equipment and custodial supplies assisting with some logistics for the event as well as maintaining the integrity of the library event space and Library policy.
- Assists the Customer Events Coordinator in setting up and tearing down spaces for internal and external events.
- Works closely with Library departments organizing events throughout the planning process to anticipate needed hospitality AV and logistical features.
- Assists the Customer Events Coordinator in maintaining the Librarys Events Spaces.
Non-essential Functions
- In the absence of the Customer Events Coordinator fields customer questions in the absence of the Customer Events Coordinator.
- When not working directly with Customer Events is available to work in Library branches in a staff capacity.
Education and Experience
- High School Diploma/HiSet/GED Completion required
- Bachelors Degree preferred
- Two years hospitality or special events experience preferred
Required Knowledge Skills and Abilities
- Job Knowledge including Librarianship
- Ability to create and execute a logistical plan for a external/internal customer event or system-wide Library event/program
- Understand and implement the Librarys Event Space policies and procedures
- Possess a working knowledge of Library policies and procedures as well as models Library values as spelled out in the Library Bill of Rights.
- Ability to work with various Library departments and external customers to create and execute logistical plans for events/programs using the Librarys calendar of events equipment AV systems recruiting and scheduling Library-approved vendors.
- Technology including specific applications hardware and coding languages
- Develop a comprehensive knowledge of the Event Spaces each event spaces AV system.
- Possess a working knowledge of Microsoft Office 365 with an emphasis on Outlook/Word/Excel/Teams/Workflows

- Speaks clearly and succinctly with both Library staff and customers to communicate services needs policy and procedures.

MVR Requirement
- Possession of a valid drivers license and a reliable personal vehicle for use in carrying out the duties of this position including transportation of materials and equipment (mileage reimbursed).
Work Environment
(Indoor/Outdoor) Works both indoors and outdoors and must have considerable tolerance for weather conditions dust mold scents allergens and communicable diseases which enable the employee to work outside at a facility handle construction and library materials work in older buildings and on jobsites and interact with coworkers and the public.
