Humboldt Senior Resource Center is looking for a full-time Medical Scheduler to support the Redwood Coast PACE program. The schedule for this position is Monday through Friday 8 am to 5 pm and this position will primarily work from our Arcata location.

JOB SUMMARY: Coordinates and oversees administration of the scheduling of outside medical specialist services internal clinic appointments and staff assessments for Redwood Coast PACE participants.

ESSENTIAL DUTIES & RESPONSIBILITIES:

  1. Coordinate with outside providers to schedule routine appointments and procedures.
  2. Coordinate with in-house clinic on outside procedures regarding pre-op and post-op requirements.
  3. Process outgoing referrals schedule appointments and communicate with other disciplines using EMR.
  4. Coordinate with various in-house disciplines to schedule appointments including PT/OT nursing PCP and enrollment.
  5. Coordinate with the transportation and home care departments regarding participant needs for each appointment.
  6. Communicate appointment information to participants and/or their family.
  7. Make daily reminder calls.
  8. Serve as a member of the participants care teams.
  9. Liaise with outside provider offices to improve processes.
  10. Coordinate with medical records and transportation to ensure attendance of scheduled appointments.
  11. Coordinate telehealth visits with appropriate supportive team members.
  12. Maintains professional relationships and effectively collaborates to ensure excellent service delivery.
  13. Participates in activities that help to enhance service quality. Continually seeks better ways for delivering services and communicating with participants.
  14. Accurately creates and maintains the department scheduling calendar and scheduling practices.
  15. Keeps supervisor updated regarding scheduling including status reports and potential conflicts.
  16. Contacts various internal/external stakeholders regarding day-to-day changes.
  17. Enters participant specialist and employee information into appropriate databases and maintains updates on a regular basis.
  18. Receives responds to and appropriately routes telephone calls related to scheduling and authorized care.
  19. Performs general administrative duties including but not limited to word processing copying filing shredding sorting/distribution of correspondence reception etc.
  20. Assists with medical records tasks as needed.
  21. Participates in activities that link Redwood Coast PACE to the community as appropriate.
  22. Participates in the process of teaching training and mentoring student interns and volunteers working within the program area.


Qualifications

EDUCATION &/or EXPERIENCE:

  1. High school diploma or GED equivalent required.
  2. Minimum of two (2) years of administrative support experience working in medical or social services field required.
  3. Prior scheduling experience preferred.
  4. At least one (1) year of experience working with a frail or elderly population preferred.

PRE-SCREENING REQUIREMENTS:

  1. Requires clearance of a DOJ and FBI criminal history background check
  2. Pre-employment physical and PPD skin test.
  3. COVID-19 and Influenza (flu) vaccines preferred.

  20. Ability to prepare comprehensive reports forms correspondence and other written materials.
  21. Ability to represent the agency professionally and effectively in meetings with internal and external stakeholders.
  22. Ability to speak publicly and privately about agency programs and to participate in various outreach efforts as required.
  23. Possess strong basic computer skills (Microsoft Outlook Word Power Point and Excel). Ability to implement navigate use and maintain database software programs. Basic knowledge of web-based applications such as timekeeping training and email programs.

PHYSICAL REQUIREMENTS:

  1. Physical abilities sufficient to move between different staff work areas communicate with co-workers and the public operate a computer produce reports talk on the telephone and travel to other agency worksites.
